As a Buyer\’s Administration Assistant, you will play a critical role in ensuring the seamless execution of the buying strategy through exceptional administrative, operational, and data management support. This role is the foundation of the buying function, responsible for managing purchase orders, sample coordination, product data accuracy, and supplier communication, all while maintaining the smooth day-to-day operations of the team.
The Buying Admin Assistant plays a key role in line with the critical path, maintaining product data, liaising with suppliers, and supporting the team in product development and trading decisions.
With an eye for detail, strong organisational skills, and a proactive mindset, you will support the team in delivering commercially successful, design-led product ranges that align with brand values and strategic goals.
Please note this is a full-time, permanent role which is primarily based at Head Office with occasional remote working.
You\’ll help us by:

  • Owning the purchase order (PO) process, accurately raising and managing orders in line with the critical path, ensuring all data is correct and proactively resolving any queries or delays.
  • Ensuring timely approvals and updates are communicated to relevant teams, supporting an efficient production timeline.
  • Taking responsibility for managing the buying sample set, including SMS, PPS, and GSS samples, covering postage, storage, and Falmouth Business Park (FBP) stock management and that they are clearly presented for sign-off and aligned with D2C and wholesale buying decisions across all partners and channels.
  • Act as the main point of contact and coordinator for sample handling and approvals, working closely with photography, tech, and design teams and maintaining up to date photography sample sheets.
  • Maintaining and updating the PLM system throughout the product lifecycle, including colour approvals, lab dips, desk looms, trim/branding, capsule, phase, grade and branding are completed for all ranges for efficient tracking and sign off, and ensuring consistency with design and buying updates.
  • Maintaining and updating the Buying Range Plan (shopping list), ensuring any development changes are reflected in PLM.
  • Ensuring fabric, trim, and branding BOMs (Bills of Materials) are correctly created and aligned with design specifications.
  • Conducting online checks for images, swatches, and product commentary, ensuring all product information is correctly displayed across online and wholesale channels and logging any web change queries to the Buying and Digital team.
  • Supporting the Assistant Buyer to conduct bulk approvals, ensuring supplier notifications are sent within 48 hours to maintain production schedules.
  • Preparing for weekly trade meetings, ensuring samples are ready, insights are gathered, and key takeaways are recorded.
  • Preparing and distributing minutes for key meetings, including sign-offs and range reviews, ensuring clear follow-ups.
  • Supporting the team with weekly reports including trading analysis and shop reports, identifying key trends, pricing strategies, and market insights to ensure the brand remains commercially competitive.
  • Conducting FX rate and HTS code checks by department, ensuring accurate duty classification and costing.
  • Using Power BI to monitor data consistency across PLM, AX/D365, and PIM (Product Information Management) resolving errors and missing information and troubleshooting issues with relevant teams to support a smooth critical path and system integration.
