In this highly visible and client focused role, you will support the end to end delivery of workplace events, meetings, and activations that enhance community, engagement, and employee experience reflecting the commitment to world class workplace standards and hospitality. Working closely with the Senior Events Coordinator, Workplace Experience Manager, AV, Catering, and Front of House teams, you will help create seamless, welcoming and memorable events that bring culture to life. This role is ideal for someone passionate about service excellence, event coordination, and workplace experience, with strong organisational skills and an enthusiasm for creating a dynamic and engaging office environment.
Key Responsibilities
- Event Delivery & Operations ‒ Support the full lifecycle of internal meetings & events from initial briefing through delivery and wrap up.
- Conduct daily checks of all meeting and event spaces to ensure cleanliness, readiness and alignment.
- Assist with room set ups, turnarounds and resets (furniture, layouts, AV, decor, materials).
- Coordinate with Catering, AV, and Front of House teams to ensure flawless execution.
- Manage guest arrival, sign ins and on the day support (queries, directions, troubleshooting).
- Follow workplace experience standards designed to create a welcoming and engaging environment for employees and visitors.
- Support experience-led activities and activations that enhance community, connection, and workplace culture.
- Log and escalate any issues to the Senior Coordinator or Experience Manager promptly.
- Systems & Administration ‒ Maintain accurate bookings and updates in Korbyt (room reservation system).
- Track attendance, catering numbers, layouts, and event requirements.
- Support with guest lists, name badges, materials ordering, and inventory.
- Coordinate vendor deliveries and supplies where required.
- Follow standard operating procedures to ensure consistency across events and experiences.
- Use established processes to address straightforward queries or issues.
- Workplace Experience Support ‒ Be a welcoming first point of contact for employees and guests within event spaces.
- Provide exceptional customer service in line with workplace experience philosophy.
- Assist in delivering workplace services (e.g., office supplies, onboarding setups, community engagement activities) as needed.
- Support small scale events and experiences that help make the office a destination of choice.
- Collaboration & Teamwork ‒ Work closely with the Senior Events Coordinator and Workplace Experience Manager.
- Support the wider Workplace Experience team during peak times or major events.
- Participate in regular team meetings and contribute ideas for improving service delivery.
- Uphold a positive, collaborative and solutions oriented team culture.
What We're Looking For
- Experience in event coordination, hospitality, workplace experience, or customer facing roles (corporate experience desirable).
- Confident, warm, and service focused with excellent communication skills.
- Strong organisational and multitasking abilities, capable of managing multiple bookings and tasks simultaneously.
- High attention to detail, especially in room presentation and event readiness.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Positive attitude, proactive mindset, and passion for creating exceptional experiences.
- Ability to follow defined procedures while using initiative when solving simple problems.
- Comfortable working in a fast paced, people centric environment.
Safety ‒ Complete all required HSE training at a satisfactory level. Follow all safety policies, including incident reporting and emergency procedures. Maintain and wear appropriate PPE when required. Apply safe manual handling techniques and escalate anything unsafe.
