Team Leader - Administration (Fixed-Term Contract until December 2025)

Location: Glasgow City Centre

Salary: £30,000 - £32,000 per annum

Working Hours: Monday to Friday, 9:00am - 5:00pm (Hybrid working 2 days in the office after training)

About the Role:

We are seeking an experienced and motivated Admin Team Leader to join our clients back office team on a fixed-term basis until December 2025. This is a key leadership role, responsible for ensuring a reliable and professional administrative service is delivered to clients, investment managers, advisers, and product providers.

As the Admin Team Leader, you will oversee the day-to-day operations of the Central Team, managing onboarding and servicing processes with a focus on operational excellence, team performance, and continuous improvement.

Key Responsibilities:

  • Lead, develop, and motivate a high-performing admin team, fostering a positive and accountable team culture.
  • Ensure all onboarding and servicing processes are consistently executed to the highest standards, supporting a seamless client experience.
  • Produce and analyse management information (MI), including SLA performance, key performance indicators (KPIs), and key risk indicators (KRIs), for relevant internal committees and stakeholders.
  • Monitor service delivery against agreed SLAs and performance standards, addressing inefficiencies and driving service improvements.
  • Collaborate across departments, influencing timelines and managing expectations to support business goals.
  • Drive continuous improvement initiatives that enhance operational efficiency and customer/user experience (CX/UX).
  • Ensure operational resilience within the team and adherence to all relevant business continuity and compliance policies.

The suitable candidate will have:

  • Proven experience in leading administrative or operational teams in a professional services or financial environment.
  • Strong people management and coaching skills, with a track record of developing high-performing teams.
  • Excellent organisational and analytical skills, with the ability to interpret data and implement performance improvements.
  • Confident communicator, comfortable negotiating and influencing across different levels of the business.
  • A proactive approach to problem-solving, with a continuous improvement mindset.
  • Knowledge of operational resilience and business continuity best practices is desirable.
