Search Consultancy are delighted to be partnering with a well-established and highly regarded legal firm in Aberdeen to recruit an experienced Legal Secretary to support both the Private Client and Conveyancing teams on a permanent basis.

The successful candidate will provide comprehensive secretarial and administrative support to fee earners, ensuring the smooth and efficient running of a busy department while delivering an exceptional level of client service. This role would be ideal for an experienced Legal Secretary with a background in Private Client and/or Residential Conveyancing who is looking to further their career within a reputable and supportive legal practice.

Duties will include:

  • Preparing, formatting and amending a range of legal documents, correspondence and reports in accordance with fee earner instructions and firm standards.
  • Undertaking digital dictation and audio typing on a daily basis.
  • Managing incoming calls, emails and correspondence, dealing with enquiries professionally and escalating where appropriate.
  • Providing administrative support across Private Client matters, including wills, powers of attorney and executries.
  • Assisting with Residential Conveyancing transactions from instruction through to completion.
  • Liaising with clients, solicitors, lenders, estate agents and other third parties.
  • Managing diaries, arranging appointments and coordinating meetings.
  • Opening and closing files and maintaining accurate client records.
  • Assisting with file management, compliance requirements and general department administration.
  • Supporting fee earners with ad hoc administrative tasks as required.

To be considered for this role, you should have:

  • Previous experience as a Legal Secretary or Legal Administrator, ideally within Private Client and/or Conveyancing.
  • MUST have audio typing/digital dictation experience.
  • Excellent organisational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and a high level of accuracy.
  • Excellent IT skills, including proficiency in Microsoft Office applications and experience using digital dictation software.
