SeaBot Maritime is looking for an organised, proactive and detail-focused Finance and Business Support Administrator to join our team on a part-time basis.

This is a varied role with a strong focus on finance administration, alongside wider business support responsibilities across office administration, procurement, customer support and executive assistance.

You’ll play an important role in keeping our financial records accurate and up to date while helping the wider business run smoothly. From processing invoices and expenses to supporting customer bookings, arranging travel and helping co‑ordinate events, the role offers plenty of variety and the opportunity to work across different areas of the business.

We’re looking for someone who takes pride in being organised, enjoys working with numbers and is comfortable managing a range of priorities in a busy and collaborative environment.

What You’ll be Doing

  • Processing and reconciling supplier invoices and customer payments using Xero, including supporting overdue account follow‑up.
  • Processing staff expenses through Dext, along with petty cash, worksheets and foreign currency requests.
  • Supporting bank reconciliations, month‑end reporting, VAT returns, cash flow updates and funding grant claims.
  • Producing weekly sales updates and supporting customer enquiries, training course bookings and service bookings.
  • Maintaining SharePoint filing systems, document control and accurate financial and business records.
  • Supporting staff onboarding administration and co‑ordinating staff travel and accommodation.
  • Processing purchasing requests, liaising with suppliers on pricing, quotations and deliveries, and supporting new supplier and credit account setup.
  • Preparing quotations for training services and product sales.
  • Supporting the CEO with diary management, meeting scheduling and associated logistics.
  • Providing general business support, including office supplies and post, internal communications, and logistical support for training, operations, events and workshops.

About You

  • Confident working with numbers and maintaining accurate records.
  • Comfortable managing multiple tasks and changing priorities.
  • A clear and professional communicator.
  • Proactive, dependable and willing to take ownership of tasks.
  • Comfortable working independently as well as collaboratively within a small team.
  • Confident using Microsoft Office and cloud‑based business systems.
  • Previous experience in finance administration, bookkeeping, office administration or a similar business support role would be beneficial.
  • Experience using Xero, Dext and SharePoint would be an advantage.
