SDJ Design Engineering Ltd is a mechanical engineering consultancy operating within the Energy Construction and Decommissioning Sector. We offer engineering solutions to a diverse range of clients with varying requirements from concept development through to detailed design and build projects.
Based at the Whisky Bond, we are offering the opportunity for an enthusiastic and talented individual to join this growing business and to continue SDJ’s commitment to providing excellent engineering services to its clients.
This role will focus on day-to-day business administration around Finance, HR, office management and support to the Managing Director with some tasks relating directly to active projects. It will be a varied role that will suit someone with previous Business Administration experience and who is willing to get involved in all aspects of day to day business administration.
Role purpose: To assist in running of the business, its projects and its general administration.
Duties and responsibilities:
Finance and HR
- To process supplier invoices/ purchases/ expenses ready for monthly payment runs
- To issue sales invoices as instructed
- Credit control
- Processing Employee Expenses
- Payroll inputs (supported by a part time Bookkeeper)
- Company finance projections
- Managing and updating project specific costing documents (Excel)
- Liaising with internal and external stakeholders via phone and email as required
- Maintaining up to date details for employees ensuring compliance with relevant legislation
- Company policy training (including inductions) and ongoing focal point for information on company policies
- Updates to company policies in line with legislative changes (supported by an external HR support company)
- Supporting recruitment (Advertising, Candidate screening)
- Employee Contracts (Creating and issuing Offer Letters, Contracts of Employment etc.)
Business Administration
- To assist in project-specific administration
- Provide business/admin support to Managing Director as required
- Management of employee timesheets
- Managing weekly engineering meetings – creating agendas and producing minutes
- Managing monthly management meetings – creating agendas and producing minutes
- ISO Compliance and Auditing
- R&D Tax Relief Application support
- Coordinate meetings, including scheduling, preparing agendas, and taking minutes as needed.
Logistics
- Project specific – purchasing parts as required under direction of Engineers, logistics for shipping when necessary
- Organising travel for individuals undertaking site work
Office Management
- Handle incoming phone calls with professionalism and courtesy, addressing inquiries and directing calls as necessary.
- Coordinate with suppliers and contractors for office maintenance.
- Arrange internal events, such as staff outings and the annual Christmas Party
- Organise boardroom lunches
- Maintain office supply levels
Person specification
- Strong administrative background: at least 2 years previous experience working in an office environment in a similar role (Finance, HR or general business administration)
- Flexibility to adapt to changing priorities, procedures, and technologies in the administration function.
- Desire to train and develop in all areas of business administration
- Ability to multitask
- Experience using financial accounting systems (Xero) would be beneficial.
- Computer literacy, advanced skills in Excel, Strong skills in Word and PowerPoint
- Accuracy and attention to detail; due diligence
- Strong verbal and written communication abilities to liaise with various stakeholders, convey information clearly, and foster positive working relationships.
- Organised and self-motivated with minimal supervision
- Able to prioritise own work and deliver to tight deadlines
- Strong team player
- Positive, can do attitude
