Working with schools, colleges, universities, academies, public-sector organisations, commercial clients, and domestic customers, we provide planned maintenance, reactive call-outs, installations, refurbishments, and plant upgrades.
Due to continued growth, we are looking for an organised and proactive Service Coordinator to join our team and support the smooth delivery of our service and maintenance operations.
The Role
As a Service Coordinator, you will play a key role in managing the day-to-day coordination of engineers, subcontractors, suppliers, and client communications across a variety of commercial and domestic service contracts. You will be responsible for scheduling works, responding to client enquiries, ensuring service visits are completed efficiently, and maintaining high levels of customer service throughout. This role would suit someone with strong organisational skills and excellent communication abilities.
Key Responsibilities
- Coordinating and scheduling reactive and planned maintenance works for engineers and subcontractors.
- Managing incoming service requests from commercial and domestic clients.
- Liaising with clients, tenants, suppliers, and site contacts to arrange appointments and access.
- Monitoring engineer attendance, job progress, and completion status.
- Raising purchase orders and assisting with material coordination where required.
- Updating internal systems with service reports, job notes, certificates, and completion records.
- Assisting with quotation follow-ups and small works coordination.
- Ensuring all documentation is completed accurately and maintained in line with company procedures.
- Handling client queries and resolving scheduling or service issues professionally and efficiently.
- Issuing and maintaining an out-of-hours engineer’s rota.
- Maintaining strong working relationships with clients and engineers.
Candidate Requirements
- Excellent organisational and time-management skills.
- Strong communication and customer service abilities.
- Ability to manage multiple tasks and prioritise workload effectively.
- Experience coordinating engineers or subcontractors.
- Good IT skills including Microsoft Office packages.
- Ability to work well under pressure in a fast-paced environment.

Desirable
- Previous experience in a Service Coordinator, Scheduler, Helpdesk, or Administrative role within the M&E, FM, or building services industry.
- Experience working with CAFM or scheduling systems.
- Experience dealing with both commercial and domestic clients.
- Understanding of service level agreements (SLAs) and planned maintenance scheduling.
