Purpose of the Role

The Project Coordinator provides vital day-to-day support across the project lifecycle, ensuring efficient coordination, effective communication, and successful project execution. This role supports Project Managers and wider delivery teams by managing documentation, monitoring progress, tracking budgets and risks, and maintaining clear communication between stakeholders. Working within a dynamic environment, the Project Coordinator ensures that projects stay on track, within scope, and aligned with client expectations.

Key Responsibilities

  • Project Planning Support: Assist in the creation and maintenance of detailed project plans, schedules, and timelines. Support the schedule management cycle, identifying risks and recovery actions as necessary. Track key project milestones and update planning tools to reflect project progress.
  • Coordination & Communication: Act as a point of contact for project-related communication between clients, stakeholders, contractors, and internal teams. Facilitate meetings, ensuring that clear communication is maintained and actions are recorded and followed up. Help ensure that accurate project information is shared and documented effectively.
  • Budget & Resource Management: Support the Project Manager in managing budgets and monitoring expenditure. Track in-period costs and assist with long-term forecasting. Monitor resource allocation (people, equipment, materials) to ensure efficient usage.
  • Risk & Issue Management: Support the early identification and logging of project risks and issues. Help develop mitigation strategies and escalate significant issues to the Project Manager promptly.
  • Documentation & Reporting: Maintain organised and up-to-date project files and documentation. Track key performance indicators (KPIs), project deliverables, and status updates. Assist in preparing project reports and presentations for senior management and clients.
  • Quality Control & Compliance: Help ensure that deliverables meet internal quality standards and comply with company policies, industry regulations, and contractual obligations.
  • Team Support: Coordinate tasks across the project team, ensuring roles and responsibilities are clearly understood. Provide support in resolving minor obstacles and ensuring teams have access to required resources.
  • Project Execution Assistance: Track the execution of project activities against the agreed plan. Monitor deliverables and raise concerns when progress deviates from the schedule.
  • Change Management: Support change control processes, updating schedules and budgets as required. Record decisions and changes through the formal project change management process.
  • Client Relations: Assist with client and stakeholder communication to ensure expectations are met. Support the delivery of project milestones and contribute to overall client satisfaction.

Skills & Experience Required

  • Strong organisational and coordination skills, with a proactive approach to problem-solving.
  • Excellent communication and interpersonal skills, capable of working across diverse teams and stakeholders.
  • Experience supporting technical, engineering, or project delivery environments is desirable.
  • Competent in Microsoft Office tools (e.g. Word, Excel, PowerPoint), and comfortable using project management software.
  • Ability to manage multiple tasks and priorities while maintaining attention to detail.
  • A collaborative team player, confident in supporting colleagues to meet shared goals.

Desirable Qualifications & Experience

  • Previous experience in a Project Coordinator or Project Support Officer role.
  • Exposure to project environments in engineering, construction, or manufacturing sectors.
  • Knowledge of project methodologies (e.g. PRINCE2, Agile) or relevant certification is an advantage.
