Role OverviewWe are seeking a proactive and organised Executive Assistant to provide high-quality administrative and operational support to senior stakeholders (Chief Financial Officer) while ensuring the smooth day-to-day running of our Staines-upon-Thames office and associated property locations.
This role is ideal for a highly organised individual who enjoys working in a fast-paced environment, managing competing priorities, and acting as a trusted point of coordination between leadership, internal teams, and external stakeholders.
Applicants must be based locally in or around Staines-upon-Thames and have the right to work in the UK. Visa sponsorship is not available for this role.
Key Responsibilities
Provide comprehensive administrative support to senior leaders (CFO), including diary management, meeting coordination, and preparation of agendas, packs, and minutes.
Manage correspondence on behalf of executives, ensuring timely and professional communication with internal and external stakeholders.
Prepare reports, presentations, and spreadsheets to support decision-making and business operations.
Maintain accurate and well‐organised digital and physical records, documentation, and confidential information.
Support procurement activities, including obtaining quotes, raising purchase orders, and liaising with suppliers.
Support day‐to‐day office operations, ensuring a professional and well‐organised working environment.
Coordinate office logistics including equipment, supplies, access arrangements, and onsite support.
Act as a central point of contact for office‐related queries and issues, resolving them efficiently.
Act as a point of contact for tenant and property‐related queries across multiple locations.
Assist with coordinating maintenance requests, contractor visits, safety checks, and inspections.
Support compliance documentation, including leases, certifications, and property records.
Assist with rent tracking, invoicing, and monitoring of property‐related budgets and expenses.
Skills & Qualifications
Previous experience or strong interest in executive support, administration, operations, or facilities management.
Exceptional organisational and time-management skills, with the ability to manage multiple priorities.
Strong written and verbal communication skills with a professional, customer‐focused approach.
High level of discretion and confidentiality when handling sensitive information.
Proficient in Microsoft Office (Word, Excel, Outlook).
Proactive, reliable, and capable of working independently with minimal supervision.
Full UK driving licence preferred for occasional site visits.
Minimum of 6+ years experience.
