We’re looking for an organised, detail-driven HR Administrator to help keep our HR operations running smoothly, accurately and compliantly. You’ll play a key part in maintaining high-quality colleague records, documentation and HR systems, making sure everything is accurate, up to date and handled with care. You’ll support governance across HR by championing data integrity, supporting GDPR compliance, contributing to audit readiness and helping to maintain robust processes and controls. Key responsibilities

  • Update the HRIS and maintain accurate colleague records, ensuring all Data Protection procedures are adhered to
  • Manage the HR invoicing portal across HR operations, including the processing of invoices, cross charging and providing updates/analysis
  • Support organisational structure management in the HRIS, including updates, data integrity and organisational charts
  • Maintain the HR Operations job role matrix
  • Process confidential employment contracts for new hires and contractual changes and update the HRIS
  • Produce employment and financial references for 3rd parties
  • Provide data for internal and external audit processes
  • Run monthly reports and chase any outstanding compliance documentation with the colleague and key stakeholders
  • Deliver cyclical and adhoc reporting for the HR Operations team and the wider business
  • Maintain and update working instructions, process guides and version control documents
  • Support continuous improvement by identifying opportunities to enhance processes, assisting with implementing changes, and maintaining the HR Portal(s)
  • Assist with delivery of projects within the team to improve the overall customer experience
  • Complete activities to ensure data accuracy and compliance with retention policy
  • Identify and address areas of risk or non-compliance, escalating issues to the HR Services Team Leader
  • Provide support, advice, and assistance to senior stakeholders, colleagues, and managers on HR queries ensuring service levels agreements are met
  • Provide ad hoc administrative support to the wider HR team and the business as needed

Required Skills & Experience

  • Previous administration experience – ideally within a Human Resource team
  • Clear and confident verbal and written communication skills, with the ability to work with colleagues at all levels and liaise with external partners
  • Well organised - able to manage several tasks at once and plan ahead to meet deadlines
  • Good attention to detail with the ability to handle information accurately and maintain confidentiality at all times
  • Proactive and self-motivated, able to work independently as well as collaboratively within the team
  • Previous experience using Microsoft Word, PowerPoint, Excel, Outlook and ideally SAP HR
