Hours of Work: Mon 5.5hrs / Tues 6hrs / Wed 6 hrs / Thu 7hrs / Fri 6.5hrs / Sat 4hrs. The post-holders will rotate through Mon to Wed and Thurs to Sat on alternate weeks.

Job Purpose: The job holder will be part of the Finance & Administration team at HMP & YOI Stirling. The post holder will be responsible for processing the incoming and outgoing mail at the Establishment. This includes Royal Mail deliveries, internal mail and email-a-prisoner correspondence. The job holder will secondary scan mail through the X-Ray machine, sort and distribute, ensuring that SPS policies are adhered to at all times.

Responsibilities:

  • To attend the Front of House area in order to collect all mail delivered to the establishment and transport to the designated secure area.
  • Correctly count, identify and sort all mail into relevant categories, i.e. confidential, general and damaged.
  • Count and confirm Royal Mail Special and Recorded Delivery mail.
  • Complete relevant inventory sheets and maintain accurate records for all incoming and outgoing mail processes as per standard operating procedures.
  • Conduct secondary assurance screening of all mail through x-ray machine.
  • Distribute correspondence to all areas of the establishment.
  • Assist with other areas of admin i.e. minutes of meetings / HDC and any other duties, commensurate with grade.

Qualifications Requirements: Minimum of Two National 5 (or equivalent) qualifications (including English & Mathematics) or relevant experience gained in a similar role and/or environment.

Experience Requirements: Knowledge Skills Requirements Experience of working in an administrative environment.

Competent in MS Office packages, including Microsoft Word and Excel.
