This post is within the Transport Scotland Rail Directorate’s Business Support Unit, which supports and manages the business of the Directorate. The post is part of the Unit’s Correspondence Team, which carries out a wide range of work in support of teams within Rail Directorate, including the preparation of a high volume of Ministerial, Chief Executive and general correspondence responses, FMQ, briefings, Parliamentary Question responses and responding to Freedom of Information/Environmental Information Regulation and SPICe requests. The Correspondence team is integral to the success of the Rail Directorate and Transport Scotland meeting key corporate targets.

The Rail Correspondence Team comprises 4xB2 Rail Correspondence Officers (including these posts), who report to the B3 Rail Correspondence Manager. The role requires good organisational and time management skills as well as excellent interpersonal, verbal and written communication skills, which will enable the successful candidates to build strong positive relationships within the Directorate, across the Agency and with our delivery partners. These posts do not carry any line management responsibilities.

Responsibilities

  • Preparing high quality responses to rail related correspondence including Ministerial responses, Chief Executive responses and general correspondence responses, FMQs, Parliamentary Questions and responding to Freedom of Information/Environmental Information Regulation, formal complaints and SPICe requests.
  • Preparation and submission of briefings in advance of official and Ministerial meetings and liaising with wider Directorate and Agency colleagues to ensure the appropriate information is provided/included.
  • Liaising with both internal and external stakeholders to ensure both the accuracy of responses and timely completion.
  • Along with correspondence team colleagues, ensure that the files and record systems in place for the rail correspondence function are kept up to date as cases are progressed.
  • You will be required to ensure the above tasks are carried out to a high standard, managed and handled in line with corporate targets; making sure there is consistency of approach and joined up working across the different parts of the Rail Directorate and wider Agency.
  • Participating in the monitoring of the Rail Correspondence mailbox, when required, as part of a team rota.
  • Deputising for Correspondence Team Manager during their absence and when required.
  • Working closely with all areas within the Directorate to build and maintain an up to date knowledge of emerging issues and building political awareness.

  • Although experience of written work is required, full training, specifically tailored to requirements of these roles will be provided to successful applicants.

The team is based between Edinburgh and Glasgow and you will require to be office based twice per week. Please note that in addition to that, you will be expected to attend our Glasgow office once every 4 weeks for the BSU team meeting and a staff development day (currently every 3 months).

This post is based in Glasgow, 177 Bothwell Street, G2 7ER. You are required to be office based twice per week, pro rata.
