This post sits within the Collections Care Branch, part of the Customer Service, Operations & Archives Directorate within the National Records of Scotland (NRS). The role offers an opportunity to work in a collaborative, supportive team, which delivers a service to colleagues and external customers who access our archives for research or other purposes. This includes providing a van service to move archives between our own sites and, on occasion, to and from external sites.

The role also takes part in projects relating to archive management and care, as we continually improve the accessibility of our archives and the way we look after them.

You will learn to use our in-house systems for handling, managing and tracking archives, and you will carry out manual handling tasks on a daily basis, with some working at height. Full training will be provided for all aspects of the role.

  • Provide an efficient and professional archive retrieval and delivery service to customers and NRS staff, ensuring that good handling practices are observed, and wearing appropriate PPE if handling records with mould. This involves logging of record movements on the Electronic Ordering System and Record Location System and maintaining the security of the archives by following agreed procedures.

  • Participate in the rota to move archives between buildings in the NRS van. This involves undertaking and recording daily checks of the van and packing archives appropriately to ensure their safe transit.

  • Take part in planned large-scale moves of archives. These will be mainly on NRS premises, but on occasion you will assist colleagues in work at external premises.

  • Assist customers and staff with general queries concerning the ordering and delivery of archives using our computer-based Electronic Ordering System.

  • Operate the box making machine to supply NRS with standard and tailored boxes, liaising with internal customers to discuss their requirements.

  • Take an active role in the good housekeeping of our archive storerooms, by keeping all areas tidy

  • Participate in projects to improve the way the archive is stored, through surveying, reorganising, re-packaging and re-labelling archives. This involves referring archives in poor condition to the Conservation team, for specialist assessment.

  • Comply with all NRS Health & Safety processes, including carrying out and documenting equipment checks, manual handling and work as part of a flexible team to perform other reasonable tasks to maintain service resilience.
