Recruitment Profile
The Administrative Assistant will support the Business Support Manager in the day to day running of the school office, including the supervision of other office staff. The post holder will also have shared responsibility for aspects of ICT within the school.
PRINCIPAL DUTIES & RESPONSIBILITIES
· Supervise office staff and activities and co-ordinate the day-to-day tasks.
· Assist the Business Support Manager in providing efficient and effective support within the
school.
· Provide support to the Business Support Manager in all aspects of budget monitoring and control.
· Ensure all relevant budget transactions are completed.
· Responsible for the day to day administration of the school fund and petty cash.
· Responsible for the day to day processing of orders and payments for goods and services.
· Ensure Council timescales are met for the submission of documents, such as timesheets, travel claims, absence certificates and school roll information are adhered to.
· Liaise with First Aiders to co-ordinate the treatment of sick staff and students.
· Ensure the production to a high standard of school publications, eg school prospectus, information to parents’ booklets.
· Maintain accurate stock control records for admin supplies and School Inventory.
· Prioritise day to day ICT tasks, eg installation of software, repairs to computers/printers.
· Liaise with Parent Council and outside agencies.
· Assist Business Support Manager with administration of SQA examinations.
· Any other duties allocated by the Business Support Manager or Senior member of staff.
· Ensure compliance with Council policy, the Council’s Financial Regulations and any Education and Lifelong Learning internal procedures or policy is maintained in appropriate areas at all times.
Educated to HNC/HND standard in Business Administration or equivalent or substantial relevant experience
