A busy, supportive medical practice based in Glasgow is looking to appoint an enthusiastic, friendly and motivated Modern Apprentice in a Medical Administrator role.
Please note that this position is for an initial 24 month contract with the potential for a permanent role for the right candidate. During this initial 24 months, you will work towards two qualifications; Firstly, a Business and Administration SVQ and then you will use your knowledge from this and apply your skills to work towards a Diploma in Customer Service.
The job role will involve customer service through reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and providing a high level of customer service for patients as required as well as liaising with staff and external agencies.
Responsibilities Include
Processing requests for appointments and prescription requests
Answering incoming phone calls, transferring calls or dealing with the callers request appropriately by delivering quality customer service
Effectively signposting patients to the appropriate healthcare professional depending on the presenting condition
Initiating contact with and responding to, requests from patients, team members and external agencies
Administration of patient records
Working as part of a busy and supportive team
Inputting data into the patient’s healthcare records as necessary
Managing all queries as necessary in an efficient manner
Carrying out system searches as requested
Maintaining a clean, tidy, effective working area at all times
Supporting all clinical staff with general tasks as requested
Monitoring of stationery supplies
Contribute ideas and suggestions to the smooth running of the reception and administrative functions
Along with the duties in your role, you will undertake two qualifications while you work and will be supported throughout.
You will have the opportunity to learn about different aspects of a medical administrator role and about the value of continuity of care.
You will learn about the importance of effective communication, teamwork and confidentiality to provide quality customer service for internal staff, patients and other agencies.
The most important thing is that you are enthusiastic, motivated and willing to learn.
National 5 qualifications- particularly in English, Mathematics and Business and Administration- desirable but not essential
Good communication and interpersonal skills are important
Previous customer service experience is desirable but a good understanding of the importance of good customer service is key
You should be willing to learn and work hard
Ability to work well as part of a team and learn from others
Be able to use your initiative to work towards common values and goals of providing the best care for patients
Time management is crucial- you will be part of a busy GP Practice team and will have to manage your time between your duties and working towards your two qualifications
Ability to maintain confidentiality when working with sensitive information
