Job Overview
We are seeking a highly organised and detail-oriented Apprentice Administrator to join our team. The successful candidate will provide crucial support for the business to run smoothly and ensure a positive client experience. Working with a range of team members, the job will gain insight into the different functions within a business and support a varied list of administrative tasks.
Responsibilities
- Check and log attendance, notifying the client of any non-attendance
- Process all certification and accredited cards on completion of courses / attainment of qualifications
- Scan and upload training delivery paperwork to SharePoint
- Prepare training packs for courses being delivered
- Set up and clear training rooms on each day of delivery
- Organise lunches and catering
- Deal with incoming post
- Effectively manage the admin e‑mail inbox
- Field incoming calls, re‑directing to the relevant team member or taking down messages
- Accurately update training systems as required throughout the role
- Complete weekly stock check of materials, stationery etc and place orders as instructed by the office manager
Future Prospects
The administration role may be a gateway to further career opportunities, and transition to a permanent role within the business shall be dependent on vacancies available at completion.
Salary
The rate paid shall meet statutory requirements appropriate to the age of the successful candidate.
Training and Development
The candidate shall undertake the SVQ level 5 in Business and Administration and during this time you will be supported to develop a wide range of business administration and personal development skills required to meet the modern apprenticeship standard. You will be allocated a mentor within the team who will support you throughout the course of your programme. A schedule of reviews will be agreed over the programme of your apprenticeship to allow you to meet the relative milestones and any assessments timely.
This position requires a proactive individual with excellent communication skills and the ability to manage multiple tasks efficiently.
Key Learning Areas
- Use of Microsoft Office Suite, particularly with Outlook, Excel and SharePoint
- Strong organisational skills, ensuring key tasks are delivered daily and includes learning how to prioritise tasks effectively
- Quickly developing good attention to detail for accurate data entry and record keeping
- Development of strong interpersonal skills to foster positive relationships within the team
- Specific training courses covering cyber security, GDPR and display screen equipment shall be supported, these being mandatory qualifications for all office roles within Raeburn Training.
