The Scotsman Group is Scotland’s largest and most diverse hospitality group, with a collection of over 40 venues across Scotland including bars, restaurants, hotels and more.
The Role
As a Groups Revenue and Contracting Executive, you will play a vital role in ensuring smooth and efficient booking processes for our guests. You will be the main point of contact for guests and booking agents prior to their arrival on-site at any of our hotels or apartments complexes. The role will involve you communicating to a high standard and ensuring guests receive a luxury experience via all your pre-stay communication. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities

  • Group Management; Converting enquires into sales, securing method of payment, inputting rooming lists, confirming meal options (with our offsite venues where applicable), monitoring cancellation and release dates.
  • Create groups in the system, and ensure all relevant information is collected at the time of booking.
  • Draw up contracts for groups.
  • To complete a pre-arrival check, ensuring all bookings are entered in to the system and have all the necessary details including payment methods and back-ups, to ensure there are no issues upon check in.
  • Add and follow up on traces on a daily basis and action them accordingly.
  • Ensure cancellation policies are followed and deposits are taken correctly.
  • Positively contribute towards departmental and hotel targets, objectives and budgets.
  • Build strong relationships with customers to fully understand their needs.
  • Ensure the complete administration and execution of all planned group arrivals.
  • Identify and communicate any potential sales leads or corporate business bookings to help drive direct business moving forward.
About You
  • Experience: Previous experience in a reservations, front desk, or customer service role, preferably within the hospitality industry.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to engage effectively with guests and colleagues.
  • Organised & Detail-Oriented: Strong organisational skills with the ability to manage multiple tasks and ensure accuracy in all bookings.
  • Proactive: A positive attitude with a proactive approach to problem-solving and guest satisfaction.
  • Tech-Savvy: Proficient in using hotel reservation systems (e.g.Opera) and MS Office. Experience with online booking platforms is a plus.
  • Team Player: Ability to work well within a team, collaborating with other departments to deliver exceptional guest experiences.
