The Role

As PA to the Chief Operating Officer for the Scotsman Group you will be providing efficient and extremely well-organised PA support to the Chief Operating Officer and supporting teams, working in a dynamic and diverse support role within the Hospitality and Property Development sector.

Your Key Duties and Responsibilities:

  • Full diary management for Chief Operating Officer, scheduling meetings, collation and distribution of meeting papers in advance, attending meetings, taking minutes and following up on actions of subsequent meetings.
  • Scheduling quarterly Business Review Meetings for the full estate venues and quarterly Operations Meetings, preparing full-day coordination including comfort breaks and business lunches.
  • Co-ordinate all communication and meetings for the Chief Operating Officer.
  • Arrange approval and processing of invoices and re-charges to appropriate cost centres in a timely manner and complete expenses within monthly business deadlines.
  • Deliver administrative support to the Iona Team and Operations team, including database management, unit allocation lists, filing meeting notes, uploading compliance documents, issuing volume target communication, maintaining cycle trackers and issuing change notices to required departments.

The ideal candidate will have:

  • Excellent organisational skills including prioritisation of tasks and time management.
  • Strong administration skills, working proactively and efficiently to complete tasks.
  • Accurate attention to detail.
  • Confident and strong communication skills, both written and verbal.
  • Flexibility and willingness to learn and develop with the role.
  • Tact and diplomacy, ability to retain confidential information.
  • Computer literacy across all applications of Microsoft Office and Outlook.
