We have an exciting new opportunity for a self‑motivated, confident and capable Team Assistant to support our Corporate & Investment Banking team based in our London office. You will have the opportunity to support approximately 15 corporate and investment banking officers in London, including senior management, across primarily the following teams: Financial Institution and Sponsors; Global Mining & Energy; Consumer, Industrial and Retail.

What You’ll Do

  • Provide secretarial and administration support for all members within the teams including Business Heads.
  • Provide support for Corporate & Investment Banking specific projects/events.
  • Comprehensive schedule management, where you will liaise with internal and external clients, senior leadership/EA, and arrange physical and virtual meetings.
  • Booking conferences and seminars, meeting rooms, V/C requirements, travel (and updating the Europe Travel Calendar), as well as seeking expense approvals.
  • Updating spreadsheets for renewals of subscriptions and memberships, liaising directly with Market Data Services in Toronto to verify correct cost allocation of users.
  • Providing holiday/sickness cover to the CIB Admin Support staff.
  • General administration for all teams, including preparing weekly calling and out-of-office schedules, obtaining approvals, processing and monitoring expense claims and invoices, and reconciling rechargeable costs within Finance.

What You’ll Bring

  • Solid prior experience at the Personal Assistant/Team Assistant level including pro‑active diary management experience.
  • Excellent typing skills/accredited secretarial training and/or equivalent experience, as well as advanced knowledge of Microsoft applications (including Word, Excel and PowerPoint).
  • Solid prior experience of preparing PowerPoint documents for the team.
  • Excellent organizational, time management and inter‑personal skills with the ability to perform work to a high standard of accuracy within a specified timeframe.
  • Capable of simultaneously handling multiple tasks.
  • Sound judgment and awareness of operational activities and responsibilities are essential to recognize, assess and handle the urgency of sensitive & confidential tasks and understand the importance of all enquiries and requests.
