About the Role
We are looking for an exceptional Executive Assistant to partner with our Northern Europe General Manager and Leadership Team. This is a highly visible and influential role at the heart of our Northern Europe business. More than traditional executive support, you will act as a trusted strategic partner, helping our leaders operate effectively, stay focused on their priorities and deliver against key business objectives. What You'll Do
Executive & Leadership Team Support
- Own complex diary and schedule management for the Northern Europe General Manager, prioritising time against strategic and commercial priorities.
- Partner with the General Manager and Leadership Team to anticipate requirements, identify risks and remove barriers.
- Coordinate domestic and international travel, including flights, accommodation, transport, visas and detailed itineraries.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
Leadership Meetings & Communications
- Lead the planning and delivery of key leadership meetings, business reviews, town halls, planning sessions and off-site events.
- Shape agendas with meeting owners, ensuring objectives, decisions, pre-work and desired outcomes are clear.
- Coordinate and quality-check executive presentations, briefing materials, reports and communications, ensuring they are clear, compelling and delivered on time.
- Ensure meeting technology, logistics and materials are fully prepared and tested in advance.
- Capture key decisions, actions, owners and deadlines and proactively drive follow-through.
- Support the Leadership Team's annual operating rhythm, ensuring priorities and commitments remain visible and on track.
Conferences & Major Business Events
- Lead the end-to-end organisation and delivery of our Northern Europe Commercial Conference and other key business events.
- Coordinate venues, vendors and agencies, alongside budgets, logistics, technology, catering and the overall attendee experience.
- Drive readiness of presentations, agendas, speaker materials, communications and event content.
- Act as a central point of leadership during events, anticipating issues and ensuring a seamless and engaging experience.
Operational Excellence
- Build strong relationships across functions, countries and seniority levels, becoming a trusted point of contact for internal and external stakeholders.
- Identify opportunities to simplify processes and introduce smarter, more digital ways of working.
- Support wider Northern Europe operational priorities and onboarding activities where required.
- Create a welcoming, well-organized workplace where people can do their best work, while keeping the day-to-day office experience running smoothly.
- Keep the business moving by managing purchase orders and finances efficiently.
