Role Overview
This role provides high-level, trusted support to the Chief Executive, enabling the effective leadership of Sciontec and Knowledge Quarter Liverpool. Working across both organisations, the Executive Assistant acts as a key point of coordination between the CEO, Boards, shareholders, partners and the Senior Management Team (SMT).
The role provides executive support, ensuring the CEO’s time, priorities and communications are managed efficiently and professionally.
Key Responsibilities
- Act as the primary point of support and coordination for the CEO.
- Manage the CEO’s diary, meetings, travel, expenses, briefings and priorities.
- Act as a trusted “gateway” to the CEO, managing access and handling sensitive matters with discretion.
- Prepare agendas, briefings and papers for shareholder and senior meetings.
- Managing and responding to enquiries as directed by the CEO.
- Support internal Board meetings, including logistics, papers and follow-up actions.
- Research, prioritise and track issues and actions on behalf of the CEO.
- Support the CEO with external Board meetings, such as his Chair role on the ILCR Taskforce.
- Draft correspondence and briefing materials to support the CEO’s leadership and external engagement.
- Anticipate and manage political, partnership and stakeholder sensitivities across the network.
- Support the CEO with booking travel and accommodation and reconciling expenses.
Liaison & Coordination
- Support the CEO in liaison with KQ partners, shareholders and senior stakeholders.
- Ensure effective communication and follow-up between the CEO and the Senior Management Team.
- Support strategic initiatives led by the CEO, including city and city region-wide activity.
- Assist with relationship-building activity alongside senior colleagues.
Event Support
- Support the team with the organisation of customer events, including our regular \"In the Know\" events and customer socials.
- Lead on the organisation of the annual Christmas party and away day.
The responsibilities outlined above are not exhaustive. The post holder will be expected to undertake additional duties appropriate to the level and nature of the role, as required.
Person Profile
You will be a highly credible, organised and proactive executive support professional, comfortable working at CEO and Board level. You will be trusted with confidential matters, able to manage competing priorities, and confident dealing with senior stakeholders across public, private and academic sectors.
Skills & Experience
- Significant experience supporting a CEO or senior executive.
- Strong organisational skills with the ability to manage complex diaries and priorities.
- Excellent written and verbal communication skills.
- Experience supporting Boards, senior meetings and governance processes.
- Confident relationship-builder with professionalism, discretion and resilience.
- Strong attention to detail and ability to work autonomously.
- Willingness to work flexibly, including occasional early starts, evenings and weekends.
Working Arrangements & Benefits
- Full time (35 hours per week), hours aligned with the CEO.
- Office based but can work flexibly from time to time with the prior agreement of the CEO.
- 25 days annual leave plus bank holidays.
