Job responsibilities
- Shared responsibility for shared inboxes – including replying in a timely manner, answering queries, and maintaining accurate and easily accessible records
- Coordinating and organising training for early career staff
- Support with the organisation of meetings in a timely manner, including booking venues, travel, equipment and taking a lead on minute‑taking where necessary
- Maintaining accurate training records
- Work with the Talent & Attraction Team to support annual recruitment and marketing campaigns
- Lead on creating an alumni network for the STFC Graduate Programme
- Support the Head of Skills Centre with a range of tasks and project work, skilled in the use of multiple IT packages and systems relevant to the organisation – e.g. MS Office or equivalent packages – to write letters or emails, create proposals, perform financial processes, record and analyse data, update and review databases, and produce data analysis where required
- Produce accurate records and documents including emails, letters, files, payments, reports and proposals; make recommendations for improvements and present solutions to management; draft correspondence, write reports and review others’ work; maintain records, handle confidential information in compliance with the organisation\’s procedures; coach others in the required processes
- Exercise proactivity and good judgement, make effective decisions based on sound reasoning, and deal with challenges in a mature way, seeking advice from more experienced team members when appropriate
- Build and maintain positive relationships within the team and across the organisation, demonstrate influence, challenge appropriately, and become a role model to peers, developing coaching skills while gaining area knowledge
- Demonstrate good communication skills across face‑to‑face, telephone, writing and digital platforms, selecting the most appropriate channels, and use social media solutions appropriately to answer questions and represent the organisation
- Complete tasks to a high standard, continually improve work, review processes autonomously, suggest improvements, share administrative best‑practice, and resolve challenging or complex complaints as a key point of contact
- Take responsibility for initiating and completing tasks, manage priorities and time, meet deadlines, manage expectations of colleagues at all levels, provide suggestions for improvements to working practice, manage resources (equipment and facilities), organise meetings and events, take minutes and create action logs, and handle logistics such as travel and accommodation
- Use relevant project management principles and tools to scope, plan, monitor and report; plan required resources; undertake and lead projects as and when required
The Skills Centre Team delivers STFC\’s successful Apprenticeship, Graduate, Industrial Placement and Summer Placement Programmes, which encompass up to 350 early‑career staff on programme. We need someone with great attention to detail who can help coordinate programme activities and provide key admin support.
GCSE in English (grade 4 or above) and Maths (grade 4 or above). Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
