The Events Executive is responsible for providing support to the Senior Event Managers and ensuring that all events are successfully delivered for the Wealth Management business across our regional locations. The role will be directly responsible for specific elements of events such as the registration process at larger flagship events and the day-to-day running of our events system. The Events Executive will also manage and deliver smaller events from start to finish as required in regional areas.
The role requires the individual to build strong relationships with the wider team, stakeholders across the business and suppliers, with travel to the events across the UK. The job holder has responsibility to pay due regard to the interests of our customers and treat them fairly, ensuring that the information provided to clients on services is clear and useful and enables them to understand fully what they are being offered. They are required to familiarise themselves fully with the team’s current procedures, FCA compliance requirements, and the principles behind ‘Conduct Risk’.
This role will be based in our regional Manchester office.
What you’ll do:
- Provide support to the Senior Events Managers in the coordination and delivery of all luxury client events and dinners, investment seminars, sponsorship and partnership events, hybrid and virtual events.
- Look at ways in which we can utilise digital and social media across our events across London and regional offices.
- Manage the registration process at flagship events.
- Manage events merchandise for regional offices.
- Organise itineraries and communications with clients for events as required.
- Take ownership of the events system and provide training to stakeholders as required.
- Manage the invitation mail-out process: collate, clean and de‑dupe guests lists from internal stakeholders and send out invitations.
- Take responsibility for the RSVP process: update RSVPs and actual attendees on events system, send confirmations and answer client queries.
- Provide administrative support for all events including formatting and printing guest lists before an event and providing post‑event attendee reports, creating staff and client name badges, organising marketing collateral and goody bags, booking couriers to send materials to venues, booking accommodation and transport for roadshows, and putting together post‑event analysis documents summarising internal and external client feedback and assessing what improvements can be made going forward.
- Coordinate hospitality bookings for internal stakeholders, organise ticket allocations and manage complimentary museum/gallery tickets.
- Support the Senior Events Managers in recording health and safety, risk assessment, compliance and insurance documentation for events.
- Organise post‑event cost centre reallocations and process invoices.
- Manage and deliver smaller events from start to finish, as required, such as educational seminars and in‑house lunches, including those taking place in regional locations.
- Perform any other support duties as reasonably expected.
- Ensure that all events owned by the Events Assistant adhere to our policies and are documented appropriately.
- Follow up on all events, with Business Development and stakeholders, to make sure we are always documenting and understanding the ROI.
- All events must be delivered within the regulatory framework, while adhering to the corporate brand and style guidelines.
- Booking couriers to send materials to venues nationwide.
The knowledge, experience and qualifications you need:
- Relevant events delivery experience.
- Keen desire to build on this experience, to learn more and to be a core member of the Events Team.
- Highly organised with the ability to work proactively, multi‑task and use own initiative to prioritise workload.
- Strong interpersonal, verbal and written communication skills.
- Strong attention to detail.
- Knowledge of the full Microsoft Office suite required.
