Location

Outpatients Department, Sevenoaks Hospital, Sevenoaks TN13 3PG. Occasional travel to East Kent Neuropsychiatry office in Ashford may be required. Remote work may be considered after successful completion of probation.

£24,937 – £26,598 per annum (Band 3).

Job Summary

KMPT is seeking a highly organised and detail-oriented Administrator to join the West Kent Neuropsychiatry Admin Team. Based in Sevenoaks Hospital, this role supports clinicians and administrative colleagues in delivering high-quality care through efficient scheduling, data management, and communication. The ideal candidate will have strong organisational and analytical skills, proficiency in Microsoft Office applications, and the ability to work independently under pressure. A professional telephone manner and the ability to communicate effectively with diverse teams are essential.

Key Responsibilities

  • Arrange clinician appointments and manage all related administration including RiO input, diary coordination, and appointment letters.
  • Organise patient groups and ensure accurate RiO documentation and correspondence.
  • Scan, upload, and file patient documents, updating demographic details as needed.
  • Prepare weekly referral meetings by opening referrals, updating spreadsheets, and processing meeting outcomes.
  • Manage the generic email inbox and respond to requests appropriately.
  • Format clinician documents with correct branding, grammar, and presentation standards.
  • Coordinate patient transport (G4S) when required.
  • Work independently and allocate tasks to the Administrative Assistant.
  • Support the Business Administration Co-ordinator and Performance, Business and Administration Manager with additional requests.

Required Skills and Qualifications

  • Excellent organisational and analytical skills.
  • Competent in data entry and document management.
  • Proficient in Microsoft Outlook, Word, Excel, and Teams.
  • Strong attention to detail and ability to meet tight deadlines.
  • Professional and courteous telephone manner.
  • Effective communicator across various channels and team structures.
  • Ability to work unsupervised and adapt to changing situations.
  • Experience with RiO or similar patient record systems is desirable.
