Commencement: The successful candidate will be expected to commence as soon as possible. The ability to communicate in Welsh is essential for this role. This role will be located on campus at Bangor with the option for some remote working under the Dynamic Working framework; part-time or job-share arrangements may be considered. Overview

The Directorate of Student and Academic Services brings together key professional services that support the student journey and enhance the academic experience at Bangor University. The Directorate comprises three main areas: Registry, Student Life, and Campus Services. These services work in close partnership with academic colleagues and other professional service directorates to provide a supportive, inclusive and high-quality environment in which students can thrive.

Purpose of the Job

The Quality & Standards Administrator will assist the Deputy Academic Registrar (Quality and Standards) and wider team in the administration of activities that assure the quality and ongoing enhancement of university programmes. This will include providing administrative assistance for the work of CELT, including support for the peer observation process and logistical arrangements for the annual CELT conference and CPD programme. During busy periods, the role holder will support the wider team with quality assurance tasks such as preparation of validation/revalidation events and administration relating to external examiner processes or academic integrity procedures. The role holder will also update webpages, Microsoft Teams folders and other sources of information with pre-prepared materials to support the quality and standards information available to the university community.

Main Duties and Responsibilities

Administration and Service Delivery

  • Provide high-quality administrative support for the management of the day-to-day administrative tasks relevant to the role.
  • Coordinate and manage arrangements for meetings, events, and schedules to support team objectives and student needs.
  • Provide front-line support to students, staff, and external stakeholders handling inquiries and directing them to the appropriate services where necessary, ensuring a high standard of customer service.
  • Assist in producing clear, accessible written communication materials, including emails, and staff or student resources.

Data Management

  • Collect, input and maintain accurate records on student information systems, ensuring data integrity and compliance with university policies and procedures.
  • Compile, monitor, and report on data as directed, to support evidence-based decision-making and compliance requirements.
  • Assist in monitoring data accuracy and resolving inconsistencies or errors.
  • Ensure personal accountability in the management and safeguarding of student information and other confidential materials.

Problem Solving

  • Address routine problems or issues promptly, ensuring a professional and student-focused approach.
  • Provide advice and guidance to students/staff in relation to established policy procedures (queries may have been escalated from G4 assistants).
  • Escalate complex or sensitive issues or potential risks to senior colleagues with timely follow-up and/or resolution.

Collaboration and Teamwork

  • Work closely with colleagues across teams and departments to support joined-up service delivery, providing support to peers during busy periods or absences.
  • Build and maintain effective working relationships with internal and external stakeholders (e.g., academic staff, external agencies).
  • Support the implementation of new systems, processes, or initiatives to improve student and staff experiences.
  • Contribute to university-wide events by providing support at activities including open days and graduation ceremonies, where participation is arranged in advance with the line manager.

Communication and Liaison

  • Communicate clearly and effectively with students, staff, and external stakeholders, addressing queries and responding efficiently to routine requests.
  • Liaise with other university departments and external bodies to facilitate seamless operations and ensure alignment with institutional practices.

Compliance and Professional Development

  • Provide administrative support for audits, reviews, or other compliance-related activities, ensuring use of proper documentation and accurate record-keeping for accountability and reporting purposes.

Other Duties And Responsibilities

  • To provide efficient administration support to the Quality and Standards team to support a range of assurance processes and enhancement activity.
  • To monitor inboxes/helpdesk queries, resolving simple queries and develop an understanding of quality assurance, enhancement and regulations to be able to effectively escalate issues and pass on enquiries to the relevant colleagues across the University community.
  • To request updates from colleagues across the academic and professional services domains to maintain accurate records in action plans in line with agreed deadlines.
  • To provide assistance with logistical arrangements for events including the annual CELT conference, CELT CPD activity and training events or workshops.
  • To update the information available to external stakeholders, staff and students relating to quality and standards and CELT on the website, intranet or similar, using materials or content provided by senior staff.
  • Any other duties appropriate to the grade, as required by line management.

Qualifications/Training

Essential

  • Educated to GCSE level or NVQ level III in an appropriate subject e.g. Customer Service or Business Administration or possess equivalent experience
  • Proficient in the use of Microsoft Office applications (Word, Excel, Access etc)

Desirable

  • ECDL Certificate

Experience/Knowledge

Essential

  • Experience of working within an office/administrative environment
  • Proficient in the use of Microsoft Office applications (Word, Excel etc)
  • Experience of dealing with queries and providing information to individual enquirers

Desirable

  • Experience of working within a Higher Education environment
  • An understanding of the importance of quality processes
