Make a difference to the student experience at Bangor University. We are looking for two enthusiastic and organised Administrators to join our Student Administration team on a permanent basis. This is a fantastic opportunity to be part of a supportive, student-focused environment where your contribution will help shape a positive experience for all students at Bangor.

We are preferably looking to fill one full time role (36.25 hours per week) and one part time role (14.5 hours per week) but will consider applications for other variations of part time hours.

As a Student Administrator you will provide vital administrative support across a range of activities, including managing the assessment and examination processes right through to awards and graduation, as well as support for key University activities such as registration and enrolment. You’ll also contribute to the delivery of services in the Hub, dealing with student queries efficiently and professionally, and helping to ensure that every student receives clear, timely, and friendly support.

We’re looking for someone who has excellent organisational skills and attention to detail, who would enjoy working as part of a team providing high-quality customer service, is comfortable handling routine administrative tasks and managing competing priorities and can communicate clearly and effectively with a wide range of people. Previous experience of dealing with queries and providing information to students and academic staff is essential.

Candidates should be educated to 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (e.g., Customer Service or Business Administration) or possess equivalent experience. The ability to communicate in Welsh is desirable for this post.

Purpose of the Job

Student Administrators deliver high-quality administrative support across the student lifecycle, working partly from a new Hub to provide a first-class service that supports an excellent student experience. Role holders will be responsible for administration relating to student records, processing registrations, enrolments, suspensions, withdrawals, and assessment data; administration relating to coursework and examinations (including making work available to external examiners and coordinating exam adjustments); supporting data requirements for the preparation of timetables and graduation schedules; producing awards and transcripts; and producing reports for exam boards and special circumstances panels. The postholder will respond to in-person, Microsoft Teams and Request Centre queries, ensuring accurate information is provided and processes are completed efficiently, in line with University policies and regulations.

Main Duties and Responsibilities

  • Support the administration of programmes across the Institution, including: Pre-registration, student records maintenance, dealing with Blackboard queries, setting up of module evaluations, online enrolment including module choice, the PGR annual review process, processing of suspensions and withdrawals, supporting the induction of new students, administration of thesis submission etc.
  • Administer all submitted coursework (e.g., follow up on non-submission of work and collating files ready for External Examiner review).
  • Administer examinations (e.g., preparation of exam papers, liaison with External Examiners, entering of marks, the Viva process etc.), handle arrangements for students with exam adjustments and produce exam board reports and special circumstances reports for Schools.
  • Liaise with academic staff and the Timetable Unit to enable the production of a coherent teaching timetable for Schools and Colleges.
  • Liaise with academic staff to enable the production of coherent exam timetables and graduation schedules.
  • Participate in a rota of staff to be located in a hub delivering a bilingual service provision.
  • Any other duties appropriate to the grade, as required by line management.

Administration and Service Delivery

  • Coordinate and manage arrangements for meetings, events, and schedules to support team objectives and student needs.
  • Provide front-line support to students, staff, and external stakeholders handling inquiries and directing them to the appropriate services where necessary, ensuring a high standard of customer service.
  • Assist in producing clear, accessible written communication materials, including emails, and staff or student resources.

Data Management

  • Collect, input and maintain accurate records on student information systems, ensuring data integrity and compliance with university policies and procedures.
  • Compile, monitor, and report on data as directed, to support evidence-based decision-making and compliance requirements.
  • Assist in monitoring data accuracy and resolving inconsistencies or errors.
  • Ensure personal accountability in the management and safeguarding of student information and other confidential materials.

Problem Solving

  • Address routine problems or issues promptly, ensuring a professional and student‑focussed approach.
  • Provide advice and guidance to students/staff in relation to established policy procedure (these queries may have been escalated from G4 assistants).
  • Escalate complex or sensitive issues or potential risks to senior colleagues while ensuring timely follow‑up and/or resolution.

Collaboration and Teamwork

  • Work closely with colleagues across teams and departments to support joined‑up service delivery, providing support to peers during busy periods or absences.
  • Build and maintain effective working relationships with internal and external stakeholders (e.g., academic staff, external agencies).
  • Support the implementation of new systems, processes, or initiatives to improve student and staff experiences.
  • Contribute to the success of university-wide events by providing support at activities including open days and graduation ceremonies, where participation is arranged in advance with the line manager.

Other Duties And Responsibilities

  • Communicate clearly and effectively with students, staff, and external stakeholders, addressing queries and responding efficiently to routine requests.
  • Liaise with other university departments and external bodies to facilitate seamless operations and ensure alignment with institutional practices.

Compliance and Professional Development

  • Provide administrative support for audits, reviews, or other compliance‑related activities, ensuring use of proper documentation and accurate record‑keeping for accountability and reporting purposes.
  • The post holder will be expected to participate in performance review and developmental activities.

Essential Qualifications / Training

  • 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (e.g., Customer Service or Business Administration) or possess equivalent experience.

  • ECDL Qualification.
  • NVQ level 4 in a relevant subject area (e.g., Customer Service or Business Administration).

  • Previous experience of dealing with queries and providing information to students and academic staff.
  • An understanding of legislative requirements relating to equality, data protection and freedom of information.
  • Experience of working within an office /administrative environment.
  • Experience of decision making by understanding relevant information and opinion.
  • Experience of developing and implementing administrative systems and procedures.
  • Experience of assisting with the manipulation of student data or similar large data sets.

  • An understanding of the internal and external factors that may impact on the service.
  • An understanding of the needs of culturally diverse staff and students.
  • Knows when a decision is beyond the roles level of responsibility and when to refer to others.
