Applications are invited for the above permanent full-time post working in the North Wales Medical School.
Duties will include providing an administrative service and engaging and completing a range of routine tasks to meet operational and customer service requirements. The primary focus of the role is to support the delivery of the medicine programmes with a specific focus on delivery of the curriculum.
Candidates should be educated to 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area or possess equivalent experience.
The ability to communicate in Welsh or a commitment to learn is essential for this post.
This role will be located on campus at Wrexham. Through our Dynamic Working framework, there will also be the option to spend some time working remotely (although remaining in the UK) to support work life balance, which will be discussed further with candidates at interview.

Purpose of the Job
This post within the North Wales Medical School is to provide an administrative service for the medicine programmes, engaging and completing a range of routine tasks to meet operational and customer service requirements.
Main Duties and Responsibilities
- To be the first point of contact, and provide excellent customer service to students, members of staff, and visitors to the Wrexham campus.
- Deal with a range of enquires from internal and external customers, providing detailed advice and guidance on the administrative processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action, contributing to the resolution of more complex issues.
- Work with others to maintain all facilities on the Wrexham Campus, identifying and reporting faults and maintenance issues.
- Support members of staff and visitors to the campus with lecture / session setup, and troubleshoot any technological issues that may arise.
- Collaborate with others to make recommendations for developments of established processes and procedures.
- Communicate effectively with both staff and students and establish and maintain effective working relationships with colleagues within the University, and any external body.
- Process a range of financial transactions including, but not restricted to, travel expenses and casual worker payments.
- Support the administration and organisation of educational and marketing/outreach events delivered at the Wrexham campus.
- Provide effective clerical support for a range of administrative activity.
- Contribute to the success of the team, leading others through example, and supporting the supervision and management of the team.
- Organise and support meetings, both on the Wrexham campus and remotely, draft agendas, prepare papers, take minutes, and circulate as appropriate.
- Take individual responsibility for the organisation and administration of an area of the medicine curriculum timetable.
- Assist in the production of course documentation and timetables.
- Update Virtual Learning Environments such as Blackboard.
- Deal with incoming email on a daily basis and process accordingly.
- Maintain the local filing system and ensure files required by staff members and other stakeholders are available when required.
- Work as part of a team to support the wide-ranging administration of the medicine programmes ensuring that core support services are maintained.
- As part of the administration team supporting the medicine programmes, there is the expectation that you will participate in events taking place on the Wrexham campus that fall within the remit of the team, including, but not restricted to, assessments, recruitment and admissions events, and that some of these events may involve working outside of normal working hours / days.
- The post holder will be expected to attend occasional faculty meetings and training days which will be held on the Bangor campus.

Person Specification
Qualifications/Training
- Educated to 2 AS Levels or 1 A Level or NVQ level III (or equivalent) in an appropriate subject or possess equivalent experience.
- NVQ Level 4 in an appropriate subject.
Experience/Knowledge
- Experience of working within an office /administrative environment.
- Experience of developing and implementing administrative systems and procedures.
- Experience of working unsupervised to deadlines, planning, and setting priorities for own work.
- An understanding of the needs of culturally diverse staff and students.
- Experience of working within a Higher Education or medical education environment.
Skills/Abilities
- Effective communication and inter-personal skills, with the ability to communicate effectively, both orally and in writing.
- Ability to develop effective relationships with colleagues at all levels both internally and externally.
- Proficient in the use of Microsoft Office applications (Outlook, Teams, Word, Excel etc).
- Recognises when the limits of own responsibility or ability are reached.
- Excellent organisational skills and ability to manage a varied and demanding workload. Ability to be proactive and identify and recommend changes for improvement where appropriate.
- Ability to work independently and demonstrate initiative in solving problems and making decision by understanding relevant information and opinion.
- Ability to advise and influence key stakeholders.

- The ability to communicate through the medium of Welsh or demonstrate a commitment to learn to a specified level is essential for this post.
