The Directorate of Student and Academic Services brings together key professional services that support the student journey and enhance the academic experience at Bangor University. The Directorate comprises three main areas: Registry, Student Life, and Campus Services.

The Student Administration Assistant provides consistent, high‑quality centralised support across Student Administration, Business Support, and Compliance functions. Key responsibilities include maintaining student data, supporting regulatory compliance, monitoring student attendance and engagement, and handling a range of routine tasks to meet operational and customer‑service requirements.

Main Duties and Responsibilities

  • Provide effective administrative support for Student Administration activities such as processing coursework, examinations, and awards documentation.
  • Support the processing of examination results, including scanning of MCQ tests.
  • Respond to first‑line queries and appropriately escalated issues.
  • Assist with data entry, filing, record‑keeping, and maintaining student record systems.
  • Prepare and distribute materials such as reports, meeting agendas, and minutes.
  • Act as a first point of contact for general inquiries via email, phone or in person, providing clear and accurate information.
  • Support the resolution of straightforward issues within the role’s focus, ensuring a professional student‑centred approach.
  • Assist in planning and organising meetings, events, workshops, and other activities, including booking rooms and preparing materials.
  • Contribute to the delivery of University events such as open days, graduation ceremonies and career fairs.
  • Work closely with colleagues across the University to support joined‑up service delivery.
  • Provide support to other team members during busy periods or absences, including advising new starters in the same role or unit.
  • Follow established procedures to ensure compliance with institutional policies and external regulations.
  • Provide administrative support for audits, reviews, or other compliance‑related activities, ensuring accurate record‑keeping for accountability and reporting.
  • Participate in performance review and developmental activities.

Person Specification

Essential

  • Educated to GCSE level or NVQ Level II in an appropriate subject such as Customer Service or Business Administration, or possess equivalent experience.
  • Experience dealing with queries and providing information to individuals.
  • Understanding of academic regulations and procedures.
  • Understanding of legislative requirements relating to equality, data protection and freedom of information.
  • Proficient in Microsoft Office applications (Word, Excel, Teams, etc.).
  • Ability to communicate effectively and professionally with a wide range of people.
  • Ability to contribute to decision‑making by providing relevant information and opinion.
  • Proven ability to maintain confidentiality as required.
  • Experience working in an office/administrative environment is desirable.
  • Experience of working with the Banner student records system is desirable.
  • Ability to communicate through Welsh is desirable; candidates who do not currently speak or write Welsh can learn on the job if desired.

Desirable

  • ECDL qualification.
  • NVQ Level III in an appropriate subject such as Customer Service or Business Administration.
  • Knowledge of the needs of culturally diverse staff and students.
  • Recognition of when responsibilities exceed one's authority and appropriate referral to others.
  • Experience of working with the Banner student records system.
