The Role: As an efficient communicator and multi-tasker, you will work with our customer and ensure that our drivers have total clarity of their daily transport plan and keep a thorough check on their completion of work. You will also need to keep the customer up to date with the status of their jobs and ensure a high level of customer satisfaction is maintained. Ideally you will be an experienced Planner / Transport Co-ordinator familiar with various planning tools, including Microlise, and have strong Excel skills. Full training will be provided for other planning software. You will be tasked to deliver the required KPIs (Revenue Per Shift, OTIF, mileage efficiency, vehicle utilisation, etc.) and be sufficiently robust to cope with anticipated events and customer-driven changes. You will be customer- and driver-facing, so being able to quickly build excellent professional relationships is key. In this position, you will work Monday to Friday on a rota basis.
Responsibilities:
- First point of contact and escalation for all H&S related events, whilst on shift.
- Effective planning of driver and vehicle resource to achieve delivery/collection times, creating and updating daily rotas.
- Liaise with local operations and BOC to cover loading & unloading for exceptional OTIF completion.
- Ensuring that service levels are achieved and maintained, in conjunction with other departments.
- Optimisation of resource and adherence to WTD and driver hours legislation.
- Using the Driver Rota, plan drivers according to shift pattern and available hours, considering holidays, sickness and changes in demand.
- Ensure legal compliance regarding any defects, services, MOTs, maintenance schedules, etc.
- Ensure all accidents/incidents/near misses are logged and reported in line with company procedures.
- Maintain clear and effective communication with drivers, communicating accurate start times, load information, directions, additional shifts etc.
- To increase staff retention and maintain good morale, reporting any driver’s issues or concerns to management.
- Ensure adherence to all statutory and legal requirements, health & safety/safe systems of work.
- Utilise and interpret the Transport Management System to maximise route planning efficiencies within given time constraints and service criteria.
- Provide effective communication during shift handovers and engage with other Transport Co-ordinators regarding issues arising during the shift.
- Support drivers wages, expenses and holiday planning.
- Flexibility to cover other shifts & weekend on call to ensure we have 24/7 cover.
- Other duties assigned by the manager from time to time.
Experience Required:
- Experience of working in a health & safety focused environment.
- Strong knowledge of the geography of the UK.
- Previous experience from the logistics/transport sector.
- Ability to anticipate and resolve problems effectively.
- Experience of working in a cost-sensitive environment.
- Competent in the use of IT based transport systems and MS Office.
- Successful track record of dealing with customers directly both internal and external.
