The Fleet Compliance Administrator is responsible for providing administrative and operational support to the Compliance Manager on the Air Liquide transport contract. This includes ensuring all vehicle, asset, and compliance records are accurately maintained and updated. The role supports legal compliance, fleet availability, workshop coordination, and timely communication between internal teams and third-party suppliers.

This position plays a key role in ensuring all fleet servicing, statutory inspections, repair documentation, and compliance-related records are managed efficiently to support safe and compliant transport operations.

Core Responsibilities
  • Manage and maintain all asset service records to ensure accuracy and audit readiness.
  • Monitor and update servicing schedules for all vehicles and operational assets.
  • Check and track service, MOT, ADR, and laden brake test status across the fleet.
  • Print and distribute completed ADR certificates and MOT documentation once issued (Freeway system access required).
  • Update the weekly servicing and compliance spreadsheet with current status information.
  • Add relevant compliance and maintenance points to the operational handover.
Workshop & Supplier Coordination
  • Proactively chase workshops for missing paperwork, repair documentation, maintenance progress updates, and vehicle release times.
  • Liaise with third-party suppliers and workshops regarding service and repair status.
  • Answer incoming calls and relay messages from workshops, suppliers, and internal stakeholders.
  • Book and coordinate VUE camera repairs.
  • Chase VOR (Vehicle Off Road) updates and repair progress to support fleet availability.
Fleet Team & Operational Support
  • Chase service requirements and planned maintenance actions from the central fleet team.
  • Escalate delays or compliance risks to the Compliance Lead and Operations team.
  • Support day-to-day compliance administration across the Air Liquide contract.
  • Maintain effective communication with transport operations to minimise vehicle downtime.
Key Skills & Competencies

  • Strong Excel / spreadsheet management capability.
  • Experience with fleet management systems (desirable: Freeway).
