We’re excited to be working with Oakwood Park Grammar School to recruit an Examinations & Administration Assistant Apprentice to join their examinations and administration team, working closely with the Examinations Manager, Senior Leadership Team, Heads of Subject, SENDCo, Data Manager, teachers and examination invigilators.

Location: Maidstone, Kent, ME16 8AH

The Opportunity:

This is a fantastic opportunity for an organised and ambitious individual to develop their knowledge and experience within school examinations administration.

Working alongside the Examinations Manager, the successful apprentice will provide high-quality administrative support to help ensure internal and external examinations are organised and administered efficiently, accurately and in line with relevant examination regulations.

The role will provide hands‑on experience across examination entries, timetabling, invigilation, internal examinations, results and post‑results services, as well as general administration and record keeping.

This is an ideal opportunity for someone who is keen to build their administrative skills within an education environment and who may aspire to progress into examinations leadership in the future.

A Business Administration Apprenticeshipprovides transferable skills across administration, communication, IT, organisation and customer service, supporting the apprentice to develop a broad range of skills that can be utilised across a variety of future roles.

What You’ll Do:

Support the Examinations Manager with the administration of GCSE, A Level and other external examination entries.

Accurately input and process examination entries within published deadlines.

Liaise with Heads of Subject to confirm candidate entries and resolve discrepancies.

Support amendments, withdrawals, transfers and late entries.

Maintain accurate examination records and candidate information.

Assist with the administration of examination fees and related documentation.

Support the creation and maintenance of examination timetables.

Assist with the organisation of internal examinations, mock examinations and public examinations.

Help identify potential examination clashes and raise these with the Examinations Manager.

Prepare candidate timetables, rooming lists, seating plans, registers and other examination documentation.

Liaise with examination invigilators regarding dates, times and arrangements.

Assist with the preparation and distribution of invigilation timetables.

Maintain accurate records of invigilator availability and deployment.

Support invigilator training and examination briefings.

Support the administration of results and post‑results services.

Assist with applications for reviews of marking, access to scripts and other post‑results services.

Maintain accurate and up‑to‑date electronic and paper records.

Support the secure handling and storage of confidential examination information.

Monitor examination deadlines and bring upcoming deadlines to the attention of the Examinations Manager.

Produce reports, lists and other examination documentation.

Provide general administrative support, including data entry, photocopying, printing, scanning and preparing correspondence.

Work in accordance with JCQ and awarding organisation regulations and school examination procedures.

Maintain confidentiality and follow school procedures relating to data protection and information security.

Eligibility Criteria:

Aged 16 or over.

Right to work in the UK.

Must meet the apprenticeship eligibility requirements.

Oakwood Park Grammar School is looking for someone who is:

Professional, approachable and team-focused.

Desirable, but not essential:

Previous experience of examinations administration.

Experience of working within a school or educational environment.

Knowledge of GCSE and A Level examination processes.

Experience of working with examination boards or JCQ regulations.

Experience of using a school Management Information System.

Experience of examination entries or post-results services.

Experience of examination timetables or invigilation arrangements.

Working Hours: Term Time Only (Plus 2 additional weeks in August)

Pay: Apprenticeship pay scale, £8 per hour for the first 12 months, followed by National Minimum Wage for your age.

Training to be provided: A nationally recognised apprenticeship qualification. Business Administrator Apprenticeship Standard, 17 months plus up to 6 weeks for end-point assessment.

Future Prospects: This apprenticeship may lead to a future permanent position. This apprenticeship provides an excellent foundation for a career within school administration and examinations. The successful apprentice will have the opportunity to develop their knowledge and experience with the potential to progress towards more senior examinations administration and leadership responsibilities in the future.
