Role: People Onboarding Assistant

Location: Birmingham (SCC operate hybrid working, which comprises of a mix of office and home working)

Contract Type: Fixed Term – 9 months

Salary Package: Β£30,000 – Β£35,000

Hours: 9.00 am – 5.30 pm Monday – Friday

Interview Process: 2-stage process

Role purpose

As the People Onboarding Assistant, you will be the primary contact for successful candidates, hiring managers, and internal stakeholders, delivering a seamless and engaging onboarding experience. You\\\’ll coordinate workflows, documentation, and welcome events to ensure every new colleague feels informed, supported, and connected from day one, while continuously improving processes to align with business goals.

Key responsibilities

  • Initial onboarding – sending out contractual documents via our onboarding platform, and ensuring document completion with our set SLA’s, working with new colleagues to assist with any queries along the way.
  • Documentation management – ensure all required paperwork, including employment contracts, policies, and forms, are accurately completed, securely stored, and compliant with internal procedures. Also supporting documentation review initiatives to improve onboarding materials.
  • Coordination with internal teams – coordinate with relevant teams including IT to ensure new colleagues receive the necessary equipment, system access, and role-specific information from day one.
  • Manager enablement – lead in the development of a manager onboarding toolkit and facilitating regular webinars for managers and new colleagues on standard system usage.
  • Welcome event facilitating – scheduling and coordinating new starter training sessions and welcome events to help new colleagues integrate into the team and company culture, ensuring continuous review to enhance content for bi-weekly welcome events.
  • Internal programme support – support in facilitating of the Rigby Foundation events, and work experience programmes.
  • Deliver tailored onboarding experiences – support TUPE transfer colleagues, internal Movers, and new starters by developing bespoke induction plans, ensuring smooth transitions through clear communication, and collaboration with local departments to facilitate effective integration from day one.
  • Colleague support & engagement – provide ongoing support to new colleagues, including regular check-ins and facilitating networking opportunities. Also ensuring that the new starter hub on our intranet is updated to ensure relevant and timely information.
  • Reporting – maintain and produce regular onboarding reports on onboarding activity, including the number of new starters, and new starter satisfaction scores and feedback trends – using the data to identify improvement opportunities which will support decision making. Monitor and flag potential indicators of unsuccessful hires to support early intervention and continuous improvement.
  • Feedback & continuous improvement – collect and analyse feedback from new hires to identify improvement opportunities from pre-employment to 6 months (end of probation), implementing onboarding feedback loops and providing recommendations for process improvements.
  • Compliance monitoring – ensuring that onboarding processes comply with legal and company-specific regulations, e.g., right to work checks and policies, employment references.

  • Interpersonal skills – friendly and approachable demeanour to make new employees feel welcome and supported.
  • Presentation skills – confident and professional delivery of onboarding content and welcome sessions, both in-person and virtually, to ensure a positive first impression.
  • Attention to detail – high level of accuracy and attention to detail in managing documentation and onboarding processes.
  • Organisational skills – ability to manage multiple tasks and priorities efficiently in a fast-paced environment.
  • Resilience and performance – ability to work under pressure during peak periods, consistently meet and exceed performance targets, and maintain high standards of delivery.
  • Problem-solving abilities – proactive approach to identifying and resolving issues that may arise during the onboarding process.
  • Technological proficiency – familiarity with HR software and tools, as well as basic IT skills to assist with technology setup for new hires.
