A great opportunity for an organised Executive Assistant to provide high‐level organisational, administrative, and strategic support to the 'Head of Commercial Office' and the wider business. In this role you will act as a central coordination point, managing key activities, communications, and priorities, as well as sensitive and confidential information.
Responsibilities
- Coordinate all key meetings for the Head of Commercial, working closely with their Direct Reports and ensuring seamless scheduling, preparation, and follow‐up across the Commercial office.
- Assist in the creation of agendas for relevant meetings.
- Be the liaison between the Head of Commercial and their team members.
- Identify and share best practices, and follow up on decided actions.
- Coordinate and attend meetings, minute, and share action points where necessary.
- Proactively manage the Head of Commercial's calendar, ensuring prioritisation of critical meetings and efficient scheduling.
- Oversee all travel arrangements, itineraries, and logistics.
- Prepare documents for signature, circulate meeting packs and materials as required.
- Oversee and manage the Head of Commercial's inbox, reviewing emails, identifying priorities, responding appropriately, and ensuring timely follow‐up on actions and deadlines.
- Act as a trusted point of contact for colleagues across global functions and regions, providing guidance and support.
- Build strong working relationships with Scania Commercial, Financial Services, and Group functions to support collaboration and timely decision‐making.
- Liaise with internal and external stakeholders, ensuring messages are communicated clearly, accurately, and in line with Scania's values.
- Work closely with the Executive Planner to ensure alignment on Executive Board topics.
- Prepare briefing papers and material to support strategic meetings and initiatives.
