An Executive Assistant is required to take a challenging and varied role in Leeds. The Executive Assistant will support the Managing Director by combining high-level executive assistance with day-to-day business management and operational oversight.
Providing the Managing Director full support, ensuring smooth business operations, alignment across teams, and effective execution of strategic and operational priorities.
The position requires strong leadership, commercial awareness, sound judgment, and the ability to manage people, processes, and projects in a fast-paced, growing organization.
Duties will include:
- Manage and maintain the MD’s calendar, including scheduling meetings, appointments, and travel.
- Proactively manage the MD’s inbox, including screening, prioritizing, drafting responses, flagging action items, and ensuring timely follow-up. Handling confidential information with the highest level of discretion and professionalism.
- Screen and manage calls and correspondence; prioritize and respond on behalf of the MD when appropriate.
- Prepare, edit, and coordinate reports, presentations, and business documents, through to company files, records, and documentation (digital and physical).
- Organize leadership meetings, company-wide meetings, offsites, and events, including complex travel arrangements and logistics for the MD and leadership team.
- Oversee day-to-day business operations to ensure efficiency, consistency, and alignment with company goals.
- Translate strategic objectives into clear operational plans and ensure execution across teams.
- Monitor key performance indicators (KPIs), operational metrics, and project milestones; report insights to the MD.
- Identify operational risks, inefficiencies, and improvement opportunities, and drive solutions.
- Support budgeting, cost control, and resource allocation in collaboration with the MD and finance support.
- Partner closely with the MD on strategic initiatives, business planning, and growth projects.
- Conduct research, prepare business cases, and develop briefing materials to support decision-making.
- Track strategic initiatives, ensuring accountability, timelines, and outcomes are met.
- Act as a sounding board to the MD on operational, people, and commercial matters.
- Act as a central point of coordination between departments to ensure alignment and collaboration, through to communications between the MD, internal teams, partners, and external stakeholders.
- Support managers and team leads in prioritization, execution, and communication.
- Serve as a key liaison between the MD, internal teams, partners, and external stakeholders.
- Act as a liaison between the MD and HR support functions with workforce planning, hiring needs, and organizational structure.
- Coordinate job postings, manage candidate pipelines, and screen CVs for role alignment, initial interviews, through to offer and onboarding process.
- Support employee engagement initiatives, training sessions, and performance-related processes.
We are looking for:
- Demonstrable experience in executive support and/or operations management roles.
- Proven experience overseeing business operations and supporting senior leadership.
- Strong commercial and operational acumen.
- Excellent written and verbal communication skills with a high level of professionalism.
- Experience supporting HR functions, recruitment coordination, and employee documentation.
- High proficiency in Microsoft Office Suite, Google Workspace, and remote collaboration tools.
- Strong organizational, multitasking, and problem-solving abilities.
- High degree of discretion, integrity, and accountability.
- Familiarity with employment laws and HR best practices is a plus.
