The predicted salary is between 30000 - 42000 £ per year.

Based in Finsbury Circus House, the purpose of the role is to provide support to the property management team and to support the PMs in the delivery of a high quality administrative service for the benefit of clients and tenants.

  • Assist with lease administration and renewals, including the drafting and issuing of new Tenancy Agreements.
  • Deal with general enquiries from tenants, clients, solicitors, local authorities, etc.
  • Arrange and support coordination of property inspections with tenants and contractors including follow up actions.
  • Support team with Health and Safety and compliance across managed properties.
  • Sales due diligence – assist with the compilation of unit and block tenancy documents in relation to property sales, produce tenancy statements, monitor and update central register, assist with booking inspections, liaise with external advisers such as sales agents and solicitors, assisting with coordinating responses to sales enquiries and update relevant systems on completion of sales.
  • Maintain manual and electronic files for each property in accordance with procedures.
  • Assist with set up & handover of properties.
  • Liaise with the property accounts team over general property queries where necessary.
  • Liaise with contractors to arrange maintenance and follow up appointments for reactive works.
  • Be first point of contact for all utility providers in relation to invoicing, void period, and ensuring correct billing is received and processed.
  • Compile management spreadsheets to support the team including new property budgets, void costs, insurance, management issues, rent schedules etc.
  • Maintaining EPC and other management registers – including assisting with access arrangements and monitoring upcoming reports required.
  • Support the team as required on wider portfolio projects as required and in line with new or upcoming legislation changes – in particular the Renter’s Rights Act, Building Safety Act and Awaab’s Law.
  • Prepare change notes for new clients, properties, leases & ongoing amendments to tenancies. This entails extracting information from leases or other legal documents & populating database amendment forms.
  • Coding and certifying of general and utility invoices in line with property budgets, ensuring submitted correctly.
  • Collate data and support the compilation of regular client reports.
  • Assist with client audits and process changes as required including updating and monitoring.
  • Answering phones and dealing with initial enquiries or taking messages.
  • Audio and copy typing including updating or producing schedules, presentations, pitches etc.
  • Minute taking as and when required for various internal and client meetings.
  • Opening, scanning and distributing post to the team.
  • Assisting the wider team on all other general administrative and property management duties.

This role sits within a fast paced, friendly and experienced team within our Property Management service line.
