The Role / Location
The main function of this role is to provide management support in the busy retail and leisure environment of Cityside Retail Park.
Cityside Leisure and Retail Park extends to [area], sq ft and is NI’s largest leisure and retail development located on the edge of Belfast City Centre. The property comprises leisure accommodation totaling [area], sq ft and retail accommodation totaling [area], sq ft.
The candidate will assist in the day-to-day operation of the scheme as a vital part of the centre management team and be responsible for the implementation of a diverse series of duties.
This is a part-time 24 hours per week position.
Key Responsibilities
- Assist management in the day-to-day coordination and management of the centre’s operational activities
- Administration duties and office support for the centre manager and/or client and visitors
- Assist with supplier approval, contractor management, issue permits to work, review of RAMS and similar duties
- Assist the Centre Manager and managing agent in proactive reporting
- Coordinate contracted cleaning schedules to ensure the highest standards are maintained at all times
- Liaise with security to ensure adequate coverage is maintained at all times
- Liaise between customers, tenants and the managing agents to ensure smooth delivery of operations
- Health & Safety and Fire Safety, including Compliance checks in conjunction with third-party specialists (including the resolution of any identified risks)
- Ensure compliance with all in-house security, health, safety, fire, welfare and standard operating policies, procedures, and protocols & compliance with relevant Health & Safety legislation
- Promote good safety habits and methods of work
- Report all health and safety issues to the Centre Manager, including accidents and near misses
- Be willing to attend and complete the relevant fire warden training
- Be the tenants point of contact during evacuations
- Coordinate activities on the mall floor, including kiosk placement and invoicing
- Ensure all contract documentation is up to date and compliant
- Advise on energy efficiency and cost-effectiveness
- Monitor and update social media for the centre (including answering queries from the public, sharing new content and promoting tenant material on the Cityside RP pages)
- Liaise with tenants on-site; this includes store visits to keep up to date with new stock arrival, photography and/or videoing stock for social media platforms
- Use of Microsoft Office software, e.g., Word, Outlook, Excel, PowerPoint, Power BI. Use of additional software to support social media activities, e.g., Canva, video editing apps, and Photoshop.
- Any other reasonable duties as required.
Skills, Knowledge and Experience
- Previous experience in Administration or PA experience or in a project management role
- Proactive, capable of working as part of the team and on your own initiative
- Demonstrate excellent standards of customer care
- Demonstrate excellent communication and telephone skills.
- Have strong organisational, administrative and multi-tasking skills
- Excellent IT skills including but not limited to Microsoft Word, Excel, and PowerPoint
- Demonstrate excellent levels of accuracy and attention to detail
- Knowledgeable and interested in social media trends
- Creative eye for video content and photography
- Experience in editing and use of additional apps that can support digital activity—Canva, Photoshop, etc.
- Willing to adapt to new ideas and initiatives and to make constructive suggestions as appropriate
