Purpose of the Role
The Technical Coordinator plays a critical role within the Environmental Services (ES) department, serving as the main coordinator for ES Stores while supporting statutory compliance across the centre. This role is primarily responsible for managing stock control systems, overseeing stock movements, and ensuring essential equipment and machinery are maintained, cleaned, compliant and available. Working closely with ES teams and wider stakeholders, you will control all inbound and outbound stock, monitor inventory levels, and support effective preparation for busy periods, minimising waste and maintaining efficient operations across the Centre. In addition, you will contribute to the coordination and monitoring of statutory systems, ensuring that relevant processes, records and practices align with legal, safety and compliance standards.
Key Responsibilities
The role includes a variety of tasks including the following:

Stock and Machinery
Develop and manage an effective stock control system for the ES department, tracking usage by area to anticipate busy periods, minimise waste, and maintain accurate data for stock replacement and reporting in graphical format. Oversee stock movements, including goods receipt and dispatch, ensuring delivery notes are accurate while building strong supplier and contractor relationships. Report and elevate any machinery breakdowns, ensuring faulty equipment is safely taken out of use, with proper documentation for audits. In the absence of compliance coordinator scheduling repairs, obtaining quotes and overseeing contractor visits to complete work. Process and raise purchase orders for stock, maintenance, and repairs as needed, managing Proactis discrepancies when they occur. Retrieve, prepare, and distribute equipment and chemicals as needed, ensuring equipment is maintained, cleaned, and ready for use both during and outside of operating hours, while reporting any loss or damage to Company property.
Leadership
Provide mentoring in matters of compliance to both team members and team leaders within the Centre. Supporting the team on how to conduct their compliance duties in line with company policy, standards and best practice. Maintaining positive relationships with all internal departments. Lead the team in upholding operational standards by managing attendance, welfare, and performance in line with company policies. Conduct return‑to‑work meetings, welfare checks, and elevate any necessary conduct or disciplinary issues. Actively support team growth through coaching, mentoring, and hands‑on training for both new and established team members. Conduct regular performance reviews, recognise achievements, and proactively address underperformance. Deliver outstanding communication to set clear expectations, clarify team routines, and motivate staff towards achieving high service standards. Ensure that all team members have the required resources and equipment to fulfil their roles effectively. Oversee grooming and uniform standards in line with company policy. Ensure full and active participation in the daily huddles and departmental briefings with your teams. Ensuring relevant and business critical information and objectives are communicated. Take ownership of personal development by attending all required training sessions and engaging actively in opportunities for professional growth.
Financial and Commercial Performance
Contain the costs of materials where possible and make cost savings for the Centre through both stock control and investigating savings of consumables.
Risk Management
Have a clear focus on operating safely and legally. Managing and ensuring compliance with all aspects of health, safety, quality assurance, and environmental standards across the Centre. Manage and coordinate the various systems, policies and processes associated with the Centre’s statutory compliance and asset control and management. Ensure all compliance and/or quality‑based records and files are reviewed and kept up to date and any changes communicated to the Centre Management Teams. Maintain a clean and safe working environment, ensuring that all areas within your responsibility meet required cleanliness and safety standards. Report any defects within the Centre through established channels, track follow‑ups, and verify resolution. Ensure all areas, including the building, malls, and car parks, are safe, clean, and fit for purpose, efficiently addressing any issues to maintain a secure and welcoming environment for customers, retailers, and team members.
Health, Safety & Compliance (COSHH)
Ensure full COSHH compliance through effective management of chemical risk assessments, safety data sheets and control measures for all chemicals used across the centre / business. Maintain accurate records and conduct regular document reviews. Manage the approval and assessment of new chemicals ensuring appropriate documentation, risk assessments and safe systems of work (SSOW) are in place and adhered to. Support the centre’s control processes by ensuring work permit authorisation procedures are followed and all contractor activities are carried out in line with centre policies. Confirm contractors are registered on the contractor tracker system, with valid permits, appropriate insurance and all required pre‑requisites in place prior to site access. Complete any post incident review and compile necessary paperwork when chemical‑related incidents occur. Administer swipe access and key access requirements for ES Department, ensuring access permissions are controlled, recorded, and aligned with operational and security procedures. Maintain accurate equipment and asset records, ensuring all machinery is safe, compliant and fit for use. Ensure fault equipment is removed from service, repairs are scheduled promptly, and purchase orders are raised where necessary, supporting full lifecycle asset management.
Training, Induction & Development
Deliver structured inductions for all new starters, ensuring a positive, safe and consistent onboarding experience. Provide practical training on equipment, machinery and safe systems of work, ensuring colleagues are competent and confident before working independently. Lead site familiarisation, including layouts, access routes, welfare facilities, emergency procedures and key contacts.
Operational Excellence
Safeguard company and retail partner assets and confidential information consistently. Set objectives for direct reports and review quarterly. Co‑operate in the delivery of projects and/or activities that impact the centre. Work with internal and external auditors to resolve issues and/or provide information as required. Support corporate responsibility objectives including personal support to community projects and activities including at least one day volunteering as part of the Foundation pledge.

Qualifications and experience
Essential:
IOSH Managing Safely or equivalent
Proficiency with Microsoft Office applications, as well as experience with bespoke software platforms.
Knowledge and experience of purchase order process/budget control
Knowledge and experience of warehousing and running a stock control system
Knowledge and experience of health and safety legislation, policy and procedure
Experience of engaging with external service providers.
Desirable:
NEBOSH General Certificate
Previous experience working for a company in the facilities and technical sector recognised as an employer of choice or striving to obtain employer of choice status.
Experience of creating and reviewing COSHH, RAMS, SOP documentation.
Contractor management and permit system administration
BICSc Assessor training or equivalent.
