Purpose of the Role
To support the General Manager for property-related matters for the occupiers and service partners. Ensure excellent relationships and world class customer service levels are achieved at all times. Execute Savills PM policy of providing an innovative, operationally efficient and economically competitive commercial environment for occupiers whilst enhancing the investment value of the asset for the landlord. To work with the GM to ensure the day to day management of the building, and to help create and support future operational and technological requirements necessary to ensure the building remains at the forefront of its competitors.
Key Responsibilities
- You are an ambassador for Stonecutter and as such you will actively promote recognition for the building team, including our service partners to create a 'one team' ethos, and the wider business through your exemplary behaviour and standards.
- You will assist the General Manager with frequent and open communication and the flow of information on relevant building issues with occupiers.
- To work with the Comms & Enlivenment manager ensuring the programme is appropriate and relevant mix of events to engage with our customers and stakeholders.
- To form a strong relationship with the building owner through regular dialogue and monthly meetings and quarterly reporting, keeping them appraised of any necessary customer and building related issues.
- You will develop and maintain a professional understanding and working relationship with appropriate occupier representatives, and become the main point of contact with the building at times when the General Manager is unavailable.
- You will take meeting minutes and ensure that notes are documented to a high standard, and actions are completed within a timely manner.
- You will support the General Manager ensuring that the ESG agenda is fully embraced by the team and that they are fully aware of the drivers for change. Promote ESG initiatives with occupiers and service partners where possible.
- You will develop and nurture an effective professional relationship with Service Partners.
- You will support the General Manager with the production of the annual building service charge budget and management accounts coordinating the input of internal resources and ensuring strict adherence to the published programs.
- Closely monitor the service charge expenditure ensuring value for money at all times and review periodically to ensure budget is maintained and not exceeded.
- You will support the General Manager and building Surveyor to review and prepare the year end accounts.
- You will support the General Manager managing finance through the raising of purchase orders, tracking work in progress, and receipting invoices promptly.
- You will develop a basic understanding of key building services systems and building fabric.
- You will escort contractors, insurance inspections, and auditors when required.
- You will be responsible for updating compliance document and databases, ensuring upcoming compliance inspections/audits are scheduled and any actions on Datastation are completed within timescales.
- You will proactively monitor the Service Excellent Metrics (SEMs) database and maintain compliance.
- Ensure that Health & Safety, emergency procedures and safe working practices are established, maintained and conform with current legislation, ensuring occupiers are provided with a safe environment in which to conduct their core business activities.
- Act as the Responsible Person and Senior Fire Warden in the event of an emergency.
- Take all reasonable measures to ensure that occupiers remain aware of their obligations in respect of the building incident procedures and risk assessments and that the legitimacy of the document is not in any way compromised.
- Working with the General Manager act as custodian and ensure that all aspects of the relevant Savills PM manuals including Operations Manual, Health & Safety and Accounts Manuals are complied with and accurately reflect recorded amendments.
- You will regularly check the permit system ensuring all permits are signed off or rejected and expired permits are closed.
- You will review the helpdesk daily to ensure jobs raised are being actioned and customers updated.
- You will ensure that the occupier handbooks is up to date and that processes and procedures are adhered to all times.
