Purpose of the Role
The Assistant Procurement Manager is to work closely with the Procurement Manager, the Procurement Business Partner, the Supplier Relationship management team and the third party procurement business to implement category strategies and complete tenders at property and portfolio level across Commercial and Residential properties. They are a key point of contact within the Supply Chain team, ensuring procurement processes are completed efficiently, accurately aligned with timelines, governance standards, and strategic objectives and in line with regulatory and company standards.
Key Responsibilities
- Category Strategies: Support the Supplier Relationship lead, Procurement Business Partner and Procurement Manager in the implementation of the category strategy for each service/sector. Complete the end to end procurement process to include: the setup of the procurement system, arranging supplier visits, conducting commercial analysis of supplier bids, completing the tender reports and undertaking contract negotiations and awarding the contract.
- Tender Preparation: Prior to the commencement of the tender ensure the objectives of the tender is fully understood, that all documentation/specifications needed for the tender are received in full. Complete negotiations with relevant suppliers including the preparation of analysis to support negotiating positions. Bring commercial analysis to the supplier selection, negotiation and drafting of contracts to promote value, lower costs and higher service levels and adhere to company procurement and supply chain policies.
- Performance Monitoring: As part of the contract award, draft site-specific contracts, ensuring KPIs reflect operational needs and site requirements. Collaborate with the third-party procurement business to manage and monitor all tender activities within the supplier category for outsourced work. Ensure compliance with procurement policies by reviewing and approving purchase orders in accordance with established business rules and delegated authority.
- Systems and Data Integrity: Support the maintenance and integrity of related technology systems and data, proactively and constructively highlighting opportunities to improve the performance and integrity of our systems and data. Be the point of contact for procurement queries, working collaboratively across the team to identify root causes of issues. Continually liaise across the Supply Chain Team, the business, and colleagues to address queries, clarify issues, and maintain positive relationships. Identify and implement process improvements to enhance tender efficiency and effectiveness. Ensure compliance with procurement policies, procedures, and best practices.
- Risk Management and Compliance: Identify, elevate and support on the mitigation of category risks and issues. Act at all times in compliance with legal, regulatory, and ethical requirements.
- ESG and Diversity Support: Champion ESG integration within procurement by embedding sustainability, ethical sourcing, and responsible governance into procurement practices ensuring alignment with Savills’ sustainable procurement commitments and the Green Charter.
- Stakeholder Engagement: Collaborate closely with internal and external stakeholders.
- Reporting: Deliver core category management reports in line with the category. Remain informed of wider changes across Savills and best practice ways of working and to ensure that a culture of innovation.

Skills, Knowledge and Experience
- Experience: 2 years of experience in procurement or supply chain management. Ability to work across multiple categories. Proven ability of working across the security and soft services category with good experience in understanding the different service lines and pricing models.
- Team Collaboration: Team player and collaborative worker providing strong support to the Procurement managers and the Relationship management team.
- Project Management: Well-organised with a proven ability to manage multiple activities simultaneously, set priorities, and meet deadlines.
- Negotiation skills: Experience of negotiation and contract management, reducing costs, and improving service partner relationships.
- Analytical skills: Analytical and problem-solving abilities, with the capability to analyse data, identify trends, and make data-driven decisions.
- Communication skills: Strong verbal and written communication skills, including the ability to effectively communicate procurement concepts to internal and external stakeholders at all levels.
- Relationship Building: Excellent interpersonal skills with the ability to build and maintain strong relationships with internal and external stakeholders.
- Continuous Improvement: Demonstrated commitment to driving continuous improvement, innovation, and operational excellence within the procurement function. Innovative mindset, bringing new ideas and creative approaches.
- Strategic Thinking: A growing ability to think strategically and develop and execute sourcing strategies aligned with the business requirements.
- Technology Proficiency: Experience in procurement software and tools, as well as Microsoft Office Suite and data analysis techniques. Experience of supporting ESG initiatives in procurement. Knowledge of ESG related procurement policies and sustainability certifications in the build environment.
Desirable Qualifications: Recognised qualification in a relevant field, such as procurement/supply chain management. Knowledge of the property sector.
