Overview
The purpose of the role is to support the centre in the day-to-day coordination of Health and Safety and Fire compliance matters. This will include managing the CAFM and Data station systems on site. You will maintain positive relationships and provide guidance, advice and support to the centre team, tenants and contractors at all times. You will assist all departments in ensuring that we achieve our legal and company requirements with regards to compliance.
Responsibilities
- Oversee all documents on Data station and CAFM to ensure the Centre’s compliance remains at 100%.
- Liaise with the Maintenance Manager regarding assigned tasks including but not limited to all follow up, rejected and overdue tasks and find resolutions to these.
- Managing compliance systems including CAFM and Data station.
- Ensuring the centre complies with the centre compliance objectives and Savills KPI’s.
- Manage the PPMs for the site including, assigning PPMs to the relevant engineers/contractors, reviewing PPM dates to ensure the paperwork dates align on the CAFM system, adding PPM’s, removing/ suspending PPM’s on the CAFM system.
- Prepare and present the compliance report to senior members of the management team at least twice a month.
- Maintaining strong relationships and liaising closely with Contactors to ensure all call outs are managed efficiently when required.
- Preparing for and assisting with audits from external bodies such as but not limited to Tetra Consulting, M&E and Assurity.
- Review onsite assets and keeping them up to date on the CAFM and Data station systems.
- Support when required with any helpdesk requests throughout the day. This includes logging and assigning breakdown tasks to an engineer within a timely manner.
- Liaise with Technical Services and relevant contractors (if required) to ensure all centre equipment and machinery including but not limited to the centre lifts/escalators are operational and updates are logged onto Data Station and CAFM.
- Support when required with monitoring contractor risk assessments and method statements and review any other applicable documentation including Gas Safe, IPAF/PASMA certification etc.
- Managing the Health & Safety training matrix to ensure all centre staff have completed the relevant training and the matrix is up to date.
- Manage the asbestos matrix and coordinating of asbestos surveys for any are missing or new surveys are required.
- Liaise with the Health and Safety Coordinator regarding retailer issues raised when necessary.
- Have an attention to detail and keen sense of time management and organisation.
- To take a pro-active approach to Health & Safety and assist employees and tenants when required to help ensure a safe and healthy workplace.
- Liaise when required with centre teams, external contractors and key senior members of the management team to advise on Health and Safety matters including fire.
- To assist with the implementation of Health and Safety Policy and procedures and to develop and maintain health and safety documentation, advising departmental managers and staff of Fire safety/ Health and safety responsibilities.
- Support and provide guidance to contractors, customers and tenants when required.
- To be able to prioritise workloads to ensure various deadlines are met and ensure the Centres compliance remains to KPI standards and above.
- Ensure appropriate, clear communication lines are established and maintained.
- When required, support with contractor queries and liaison before, during and after works. To include but not limited to phone calls, emails and meetings.
- To be able to confidently query and challenge items that do not adhere to centre requirements.
- Assist with contractor monitoring, in the form of but not limited to, overseeing skip locations and communicating this to the wider teams if required.
- Ensure compliance and company procedures and policies, including health and safety, CDM and environmental matters are adhered to.
- Ensure compliance with all statutory and site specific requirements, codes of practice, and health & safety.
- Create and maintain effective working relationships with service providers and contractors.
- Ensure that high site standards are achieved and maintained at all times in full accordance with statutory and site specific requirements.
Skills, Knowledge and Experience
Required:
- Good analytical skills.
- Flexible approach and sense of teamwork.
- Self-motivated, able to work on own initiative.
- Excellent time management skills with ability to respond to client/contract deadlines.
- Two years’ experience in a customer/contractor facing environment.
- Strong communication skills, both written and verbal.
- Working knowledge of excel and word.
- Ability to work effectively with clients, staff, tenants, service providers and contractors.
Desired:
- Good working knowledge of Health and Safety.
- A basic knowledge and understanding of legislative health & safety requirements.
- Proven experience in the management of maintenance contracts, and the supervision of professional consultants and building contractors.
- Extensive experience and proven track record in maintaining Health and Safety compliance and delivering projects on time.
- IOSH Working Safely.
Working Hours - Part-time 20hrs/week - Mon – Fri 10.00am – 2.00pm
Salary - £15,000/pa
