Purpose of the Role

As an integral part of the Events Team, this role involves coordinating all aspects of the day‑to‑day operations on the Estate. The focus is on ensuring the smooth coordination of all event documentation and supporting the delivery of event activity in line with the client’s strategy. The role includes managing all aspects of smaller‑scale events, ensuring full compliance with health and safety documentation and effective coordination with event organisers. There is also an expectation to support the Events Manager and Senior Events Manager on larger‑scale events, including completing pre‑event documentation such as licensing, invoicing, and raising purchase orders.

Working collaboratively with colleagues across King’s Cross Estate Services, the role contributes to delivering an excellent impression of the development through a lively, vibrant, and colourful events programme that animates the public spaces and engages the local community.

Customer service / Stakeholder Engagement
  • Act as a visible point of contact for occupiers, residents, visitors, and stakeholders, ensuring exceptional service delivery at all times.
  • Develop and maintain professional relationships with service partners across the estate.
  • Build and maintain a professional understanding with key stakeholders & occupier representatives.
Leadership & People Management (One Team)
  • Drive the KCES vision and values.
  • Ensure a self‑motivated and can‑do attitude is promoted.
  • Ensure a methodical, measured approach is promoted and encouraged throughout the team when resolving issues.
  • Support the KCES team maintaining the highest standards of service delivery encompassing innovation, sustainability, and customer focus.
  • Support new team members receiving designated training, site inductions, and additional approved training for professional development.
Operational
  • Lead on the enquiries and communication through the events email inbox.
  • Coordinate all administrative tasks such as licensing and invoices for all events and ensure they have been completed prior to the event live date.
  • Ensure that the event’s diary, legal tracker event related documents such as The Event Handbook and application forms are kept up to date.
  • Ensure the diary is circulated to all stakeholders.
  • Ensure that all H&S procedures are followed by all event contractors whilst on site from set up to break out and throughout the duration of any event.
  • As part of the King’s Cross Estate Services team you will need to liaise with all stakeholders to ensure they are aware of all event activities planned and booked.
  • Act as a support with the event budget and organise the tracker with up‑to‑date purchase orders.
  • Liaise with all relevant departments to ensure the smooth operation of events, including Health & Safety, Security, Estate, Engineering and Environmental Services.
  • Requirement to support events, where necessary, which would involve working out of office hours and weekends (time back in lieu).
  • Responsible for all aspects of routine correspondence and administrative duties and the efficient running of the management office in relation to event activities.
  • Attend Event & Enlivenment meetings along with Senior Events Manager.
  • Assist the client in driving event commercialisation and activating the newly opened areas on the estate.
  • Lead on obtaining feedback from all event organisers to understand the event impact.
  • Manage the event, filming and commercialisation enquiry process including presenting viable event opportunities for client consideration.
  • Ensure all event areas are safe, clean, and presented to agreed standards.
  • Carry out event walk rounds, inspections, and audits, addressing issues promptly and appropriately.
  • Oversee and support the King’s Cross Estate permit‑to‑work system for small scaled events, including reviewing, approving, and monitoring upcoming events.
  • Respond swiftly and effectively to any concerns, incidents, and feedback, utilising the appropriate policies, processes, and procedures.
  • Support the development of initiatives that enhance the occupier, resident, visitor, and stakeholder experience.

  • Work closely with Events team to deliver consistent delivery across the events programme.
  • Support wider estate management initiatives and contribute to continuous improvement projects.
  • Support the Estate Team during estate works, assisting with operational coordination, visitor flow management, and ensuring service standards and safety are upheld throughout the activity.
  • Perform additional duties as requested by the Senior Events Manager or Director of Operations.
Skills, Knowledge and Experience
  • Background in administrative tasks, invoicing, licences and purchase orders.
  • A basic understanding of health, safety, and compliance.
  • Experience working with third‑party contractors and managing service delivery.
  • Familiarity with permit‑to‑work systems.
  • Excellent team and communication skills.
  • Ability to remain calm under pressure and make sound decisions in dynamic situations.
  • Flexible to work occasional weekends.
  • IOSH qualification is desirable.
  • Professional integrity and a strong work ethic.
  • Ability to work collaboratively and manage multiple projects simultaneously.

Working Hours – 9am – 5:30pm. Occasional weekend work. Salary – £35,000 – £40,000.
