Purpose of the Role

To deliver the building management services to an exceptionally high standard incorporating the client strategies and platforms as appropriate. To manage the team in providing all aspects of the day to day running and maintenance of the property under your control and ensure the immediate supervision of staff and contractors and ensuring the required standards are achieved and maintained at all times. To liaise with occupiers ensuring excellent working relationships and an understanding of their professional culture and requirements.

Key Responsibilities

  • Ensure all Savills property management and compliance systems are up to date and used in line with process and policy
  • Overall responsibility for operations on site including occupier experience and the development and implementation of key performance indicators of a way of managing operational performance.
  • Complete and upload onto the appropriate system, daily and monthly checklists within agreed timeframe; ensure any resultant work is actioned
  • Manage local environmental activities to meet required accreditations or statutory obligations and achieve/retain standards of ISO14001 etc
  • Ensure that high standards of property presentation and customer service are achieved and maintained at all times.
  • In conjunction with SRFM ensure best value is achieved for client and occupiers by auditing contracts and performance, and identifying potential improvements
  • Regularly engage with contractors and provide regular feedback to SRFM
  • Ensuring contractors carry out their work to a high standard and maintain site standards and escalating any contract management issues to SRFM in timely manner
  • Ensure and implement H&S best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure all actions resulting from any audit are updated monthly to show progress, and are completed within agreed timeframe
  • Ensure appropriate clear communication (written and verbal) with occupiers, service partners and all visitors to the property
  • Attend occupier meetings and build excellent professional relationships with your occupiers
  • In conjunction with the Senior Regional Facilities Manager, preparing and managing the service charge budget for the building and maximising opportunities to deliver great service and occupier engagement through property specific portals.
  • Must be able to organise and manage visitors/events through good planning and ensuring the onsite team are resourced and trained correctly to provide a high standard of service and meet occupier expectations.
  • Prepare and implement contingency plans with SRFM to ensure adequate and suitable site attendance in the event of annual leave, training etc
  • In conjunction with SRFM, understand the client’s requirements for compliance and insurance and ensure reports are readily available
  • Ensure reliable working knowledge of plant and building operation systems
  • Execution of reasonable requests by the property surveyor, effectively communicating with the SRFM at all times
  • Ensure that all promotional activities are carried out with due care and attention to the health, safety and welfare of staff, customers and occupiers.

Promotions/Public Relations

  • Establishing and developing good relations and partnerships with various authorities and local agencies, notably:
    • Local authority
    • Police
    • Fire brigade
    • Public transport providers
    • Neighbouring properties
  • Be aware, and act in accordance with, the corporate social responsibility policy for the property/client and Savills
  • Ambassador role to include working with the local community and businesses to develop a community culture internally and externally, building social programs and hosting a range of events to benefit the area.

Staff

  • Develop or maintain an effective site team ensuring they are adequately trained, motivated and embracing the team ethos
  • Conduct performance reviews in line with Savills policy procedures identifying personal and skill based training requirements on an individual basis ensure arrangements are put in place and managed.
  • Ensure the team comply at all times with the operational standards as set out by client/surveyor and RFM

Quality Assurance

  • Adhere to all quality assurance requirements.
  • Ensure compliance at all times with operational standards.
  • Assist with additional client led compliance requirements.

Skills, Knowledge and Experience

  • IOSH as minimum
  • Excellent managerial and inter-personal skills, a proven track record in managing change, extensive experience in managing budgets, good strategic vision and a strong commitment to customer service are vital.
  • Facilities management experience is essential within offices or hospitability – preferably both.
  • Self‑motivated, able to work on own initiative.
  • Outstanding customer / occupier service standards – ownership of building and team and eye for precision and detail.
  • Experience in the supervision of contractors.
  • Proactive, uses initiative and able to work to under pressure to meet deadlines
  • Effective people management skills in recruitment, development and team building.
  • Understanding of commercial leases and the landlord and occupier key relationships.
  • Excellent communication skills, written and verbal.
  • A comprehensive knowledge and understanding of legislative Health & Safety requirements.
  • Good time management skills able to respond to client/contract deadlines.
  • Willingness and ability to learn on the job, keen to undertake training and career development
  • General Education to GCSE standard with an A‑C grade in English & Maths or equivalent standard.
  • Experience of direct liaison with Police, Fire and Government Enforcement office.
  • Ability to use full range of Microsoft applications Inc. Word, Excel, PowerPoint, Outlook.

Working Hours -Week 1 – 8-16.30, Week 2 – 9.30 – 18.00

Salary -IRO £35k based on experience
