Purpose of the Role

Lead the continuous delivery of the Leaseholder management, Service Charge and Estates Facilities Management across a number of residential assets based in London within the Build-to-Rent (BTR) department. Full accountability for the financial management of the service charge estates, including budget, accruals, cashflow and reporting. Ensuring all reactive and scheduled maintenance, operations, Health & Safety and other compliance requirements are met across the assets. You will be responsible for overseeing all hard/soft services as well as all compliance related matters, taking part in the development and implementation of the wider portfolio strategy.

Key Responsibilities

  • Providing advice on, and the issuing of relevant notice of works including s20 notices where required
  • Primary point of contact for day-to-day queries relating to service charges and account
  • To understand and ensure adherence to, on behalf of the Landlord and Tenants, the obligations within the occupier lease agreements.
  • Host quarterly meetings with the relevant Housing Associations to discuss key updates, address ongoing issues, and ensure open, transparent communication between all stakeholders
  • Key point of contact for day-to-day block-related queries and issues within the scope of Building Services, supporting both the Housing Association and the Savills onsite management teams
  • Managing the Planned, Preventative Management (PPM) schedules, including fire life safety systems for hard and soft services, liaising with 3rd party contractors
  • Complete monthly audits for each site and uploaded to the system in line with target date, 25th of each month
  • To oversee contract management and ensure value and quality of work is being delivered by all suppliers
  • To lead and work alongside the Savills senior team on setting and delivering the annual service charge budget
  • Providing budget vs actual reporting to the client periodically on individual service charge budgets and have a strong knowledge of expenditure, offering improvement strategies where required
  • Ensure all Estate Services are delivered proactively and in full compliance, with a strong focus on customer service that consistently exceeds client and resident expectations.
  • Develop, implement and maintain management systems for all buildings, facilities and public realm areas
  • Ensure compliance with the Property Management Agreement, KPIs and SLA, industry best practices, Professional Statement and statutory obligations.
  • Develop and maintain strong and collaborative relationships with the Housing Associations and wider Estate Stakeholders.
  • To deliver the standards and brand values, drive the operational aspects of the placemaking initiatives, including team training, motivation and development to meet the clients requirements
  • Work with the wider portfolio team to facilitate & support the Client’s Events and Community Programmes
  • To understand the Client’s objectives and create property management plans to enable Savills to support those objectives.

Health & Safety

  • Responsible for ensuring adherence to both client and Savills environmental policies, procedures, and strategies across all levels of the organisation.
  • To work with all departments within Savills including H&S, fire safety and operations teams to ensure compliance across all areas of the business.
  • To support the Senior Portfolio Manager on any ESG deliverables required by Savills and Client initiatives
  • Ensure all accidents, near misses, and identified risks are promptly reported, accurately recorded, and effectively managed to reduce or mitigate future occurrences
  • Establish emergency procedures and safe working practices to ensure as far as is reasonably practical, the health and safety of all residents, occupiers visitors, members of the public Estate employees and service providers.

Skills, Knowledge and Experience

  • Proven track record in previous Estate and Block management roles
  • IOSH or NEBOSH
  • Ability to prepare detailed Service Charge Budgets
  • Experience in providing institutional grade reporting to clients
  • An ability to problem solve and streamline services
  • Experience in utility management
  • Understanding of Health and Safety best practice
  • Excellent problem-solving ability and a logical mindset
  • 3rd party contractor management
  • Hard & soft service experience

Working Hours - Monday to Friday 9am to 5:30pm (additional hours may be required)

Salary - £60K + 10% discretionary bonus
