Location: Guiseley, Leeds

Salary: £35,000 - £42,000 (negotiable, depending on experience) + Benefits

Are you the kind of person who loves bringing order to chaos, thrives on juggling priorities, and can make complex international travel look effortless? We're looking for an experienced Executive Assistant to become a trusted partner to our European President, while also supporting three other directors based at our Leeds headquarters. You'll play a key role in keeping our leadership team running smoothly, but the biggest focus of your role will be coordinating complex international travel for the European President. From multi-country European trips to regular travel between Europe and North America, you'll be the person making sure every detail is taken care of and every journey runs seamlessly.

This isn't a role where you'll simply be managing diaries and booking the odd train ticket. You'll be at the heart of our European leadership team, building relationships across the business, fixing issues before they become problems, and helping senior leaders make the most of their time. If you're someone who loves being ten steps ahead, making the impossible look easy, and keeping lots of moving parts under control, you'll fit right in.

What You'll Be Doing

  • Manage busy and ever-changing diaries for four directors.
  • Coordinate complex international travel, accommodation and itineraries across multiple countries and time zones.
  • Build and maintain knowledge of preferred routes, hotels, venues and suppliers.
  • Act as a key point of contact for internal and external stakeholders.
  • Manage communications and inbox activity on behalf of directors.
  • Prepare reports, presentations and meeting materials.
  • Draft and edit communications and correspondence.
  • Organise meetings, leadership events and leadership activities.
  • Track actions and follow-ups, making sure commitments don't slip.
  • Anticipate challenges before they arise and find practical solutions.
  • Keep stakeholders informed and aligned on upcoming priorities and deadlines.
  • Support the smooth running of the Leeds office, including liaising with service providers, suppliers and the building landlord.
  • Work closely with colleagues across our global business to ensure directors remain organised, informed and prepared.

What We're Looking For

We're looking for someone who can confidently operate at senior leadership level and genuinely enjoys making life easier for others. To be successful in this role, you'll have:

  • Previous experience as an Executive Assistant, Personal Assistant or in a similar senior support role.
  • Outstanding organisational skills and the ability to manage multiple priorities without dropping the ball.
  • Experience coordinating complex travel and schedules for senior stakeholders.
  • Excellent communication and stakeholder management skills, with the ability to build strong working relationships at all levels.
  • Absolute discretion when handling confidential and sensitive information.
  • Strong judgement and the confidence to make decisions independently.
  • A genuine interest in researching and building your own directory of go-to suppliers and venues, particularly when it comes to travel planning and logistics.
  • Experience supporting colleagues and stakeholders across different locations and time zones.
  • Experience operating in a commercial, fast-paced environment.
  • An additional European language would be an asset but isn’t essential.
