Finance & HR Administration Coordinator

Location: London NW11 – office based Hours: Permanent – working days and hours to be agreed Salary: Competitive, dependent on experience

An exciting opportunity has arisen to join the accounts team of an award-winning international luxury retail business.

This varied, hands-on role combines HR and payroll administration with finance support across several UK and international business entities.

You will become a central point of contact for employee administration, ensuring that new starter documentation, security passes, timesheets and payroll information are accurate and completed on time.

You will also assist the wider accounts team with invoicing, reconciliations, expenses and payment administration.

This position would suit a highly organised and dependable administrator who enjoys taking ownership, following matters through to completion and working across both people and finance-related responsibilities.

Key responsibilities

  • HR and payroll administration
  • Act as the first point of contact for routine HR and employment administration.
  • Coordinate new starter administration, including employment documents, identification, payment details, staff handbook acknowledgements and other required records.
  • Maintain accurate and confidential employee files and trackers.
  • Coordinate security pass and access applications, monitoring their progress through to completion.
  • Check employee timesheets against the clocking system and investigate missing hours or discrepancies.
  • Prepare accurate payroll information ahead of fortnightly deadlines.
  • Record starters, leavers, absences, overtime, holidays and pay changes, ensuring the necessary approvals are retained.
  • Investigate employee pay queries and work with finance and operational colleagues to resolve them promptly.
  • Support leaver administration, including final documentation, payroll notifications and the return of passes or company property.
  • Prepare regular HR administration reports and outstanding-action summaries for management.

  • Provide flexible finance support across several UK and international entities.
  • Enter purchase and sales invoices accurately into Xero.
  • Assist with bank, cash and balance-sheet reconciliations.
  • Maintain payroll, employee expense and HR payment schedules.
  • Process employee expenses and corporate card documentation.
  • Assist with supplier queries, payment runs, remittances and finance trackers.
  • Maintain well-organised and confidential electronic HR and finance records.
  • Provide administrative cover for the accounts team during busy periods and absences.
  • Help improve HR administration, payroll support, invoice processing and document-management procedures.

About you

You will ideally have

* Must have

  • Previous experience in HR administration, payroll, finance administration, people operations or a similar coordination role.
  • Experience managing employee records, new starter documentation, timesheets or attendance information.
  • Finance administration experience, such as invoice processing, bank reconciliations or payment support.
  • Knowledge of Xero or a similar accounting system.
  • Intermediate/advanced Excel, Outlook and document-management skills.
  • Excellent attention to detail and the ability to identify discrepancies.
  • The confidence to manage recurring deadlines and follow up outstanding information.
  • Clear and professional communication skills.
  • The ability to handle sensitive personal and financial information with discretion
  • Be office based – 5 days per week, NW11

Preferably

  • A qualified/part qualified accountant or AAT
  • Degree educated

You will be warm, approachable and service-focused, while also being proactive and persistent when information or approvals are outstanding.

You will be comfortable moving between HR and finance tasks, remaining calm under pressure and taking responsibility for your work from start to finish.
