We are looking for an Executive Assistant to support our Vice President of R&D in a dynamic, fastâpaced global environment. In this role, you will act as a trusted partner, ensuring seamless coordination across strategy, operations, and dayâtoâday priorities. You will play a key part in keeping the VP organized, informed, and focused by managing schedules, communications, meetings, and crossâfunctional workflows.

As an Executive Assistant, you will:
- Manage the VP's calendar strategically, resolving conflicts, protecting focus time, planning ahead, and designing days that optimize preparation time, energy levels, and overall effectiveness.
- Act as a communication gatekeeper, filtering and prioritizing emails, calls, and messages, drafting responses when needed, and ensuring only essential items reach the VP.
- Coordinate complex travel and logistics, including flights, visas, time zones, ground transport, detailed itineraries, and processing expenses.
- Handle full meeting preparation, from agenda-setting and briefing materials to noteâtaking, action tracking, and postâmeeting followâup.
- Support project coordination, tracking deliverables, timelines, and stakeholder alignment to help keep strategic initiatives on track.
- Assist with financial oversight, including expense management, invoice processing, budget tracking, and preparing inputs for leadership or board reviews.
- Serve as a liaison between the VP and internal teams, maintaining strong communication flow, sensing organizational dynamics, and helping resolve issues early.
- Plan and execute executiveâlevel events, such as board dinners, leadership offsites, and highâvisibility internal gatherings.

Required qualifications:
- Years of experience supporting senior leaders or executives in a fastâpaced, international environment.
- Exceptional organizational and timeâmanagement skills, with the ability to anticipate needs and proactively prepare information, materials, and time buffers before the VP even asks.
- High level of discretion and professionalism, with the ability to handle confidential business and personal information with absolute trustworthiness.
- Strong communication skills, including the ability to draft clear, concise messages and represent the VP professionally with internal and external stakeholders.
- Proven experience managing complex calendars, coordinating international travel, and handling logistics with accuracy and foresight.
- Advanced proficiency with productivity and collaboration tools such as Microsoft Office, SharePoint, and Confluence.
- Strong problemâsolving skills with a proactive, solutionsâoriented mindset.
- Fluency in English; additional languages are a plus.
