About this Role
We are seeking a highly organised and proactive Client Services Support & Executive Assistant candidate. This role requires exceptional multitasking abilities, attention to detail and the ability to manage a wide range of administrative, financial, technical and operational tasks. You will play a key role in ensuring smooth day-to-day operations, supporting events, managing communications, and handling client queries, CRM management, and financial administration.

Our CEO, Sara Davison, is an author, podcaster, speaker, influencer, media commentator and patron of a domestic abuse charity. Our company spans across both B2C and B2B markets. We help people to cope better with breakup, divorce and toxic relationships. We have a coach training school with over 700 coaches in 30 countries. We also provide support for employees in the workplace dealing with breakups and run corporate trainings. Our team is making a real positive difference in the world and we are looking for a driven and motivated team mate!
Key Responsibilities
1. Executive Support to CEO
- Manage the diary and schedule for the CEO.
- Provide personal administrative and email support.
- Arrange and coordinate meetings, travel and itineraries.
- Track minutes and action items for team meetings.
- Handle expenses and reimbursement processing.
2. Client Services Support
- First point of contact for our Coaching Community
- Manage new coach onboarding, training programmes and CRM admin support
- Respond to customer inquiries via WhatsApp, text, email and phone.
- Handle incoming calls on the Business Hotline and resolve queries promptly.
- Manage day-to-day communications and tasks using HubSpot, Kajabi, Zapier, and other tech tools.
- Admin support for Operations and Client Services Manager
3. Event Coordination & Management
- Organise and manage logistics for events, including:
- Online Workshops (reminders, questionnaires, feedback tracking).
- Monthly Coach Community Webinars (scheduling, reminders, expert bookings, event emails, social media events, post-event recordings).
- Annual Conference Support (assisting with logistics and coordination).
- Event Management Support (delegate liaison, marketing emails, manual printing, logistics coordination).
- Team and Coach Christmas Party Arrangements.
- Create and manage collateral for events (print and digital).
- Arrange travel and logistics for events and exhibitions.
- Coordinate post-event communication, lead capture, and follow-ups.
4. Finance & Credit Control
- Prepare and submit monthly financial reports, including international and contractor payments.
- Process and send invoices for payment processing.
- Handle credit control by tracking and chasing missed payments.
- Manage user access from platforms (HubSpot, Kajabi, etc.)
- Cross-check invoices for payment approval.
- Process and update Stripe subscriptions and card details.
5. Reporting & Analysis
- Generate weekly and monthly reports for business performance tracking.
6. Marketing & Communications
- Draft and send sales emails and newsletters.
- Manage collateral creation with designers and printers.
- Oversee social media event promotions and follow-ups.
Must Have Key Skills & Experience
- Strong organisational and multitasking skills.
- Strong technical proficiency in CRM systems (HubSpot, Kajabi, Stripe, Zapier).
- Experience in financial administration (invoicing, credit control, reporting).
- Event management and coordination experience.
- B2C and B2B experience.
- Outstanding people skills.
- Excellent communication skills (written and verbal).
