This Executive Assistant will support the Head of Customer Outcomes and Advocacy and members of their leadership team. This individual will be responsible for providing comprehensive administrative and managerial support. You will play a crucial role in ensuring smooth operations, effective communication, and efficient decision‑making. This position requires high confidentiality and top‑notch communication skills, along with being a highly‑organised, detail‑oriented individual with exceptional multi‑tasking abilities.

As an Executive Assistant, you are part of the backbone of this organisation to ensure a smooth and outcome‑driven work environment for the Executives you support. You will work closely with other Executive Assistants and Management Support Specialists, Senior Executives, and other key stakeholders.

What you’ll do:

  • Manage complex calendars, including scheduling meetings, appointments and travel arrangements.
  • Assist your Executive with time management.
  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Manage logistics for meetings, including coordination of team meetings and external events.
  • Coordinate travel arrangements, including preparation and follow up (expense reports, etc.).
  • Book meeting rooms, research external venues as needed.
  • Manage internal and external communications.
  • Manage workflow items such as time‑off requests, purchase orders, distribution lists, etc.
  • Organise and maintain electronic files, ensuring confidentiality and easy retrieval of information.
  • Assist with the preparation, editing and formatting of documents, presentations and spreadsheets.
  • Coordinate and oversee special projects, ensuring their timely completion and successful outcomes.
  • Act as a central contact between internal/external stakeholders, maintaining positive relationships and ensuring timely communication.
  • Proactively identify opportunities to improve administrative processes and implement efficient solutions.
  • Utilise approved AI‑enabled productivity tools and automation technologies, in alignment with company policies, to enhance operational efficiency, optimise workflows and support executive productivity.
  • Establish close working relationships with Executive Assistants in other areas.

What you bring:

  • Fluent in business English, German is a plus.
  • 5+ years of experience as a Management Support Specialist or similar role.
  • Strong communication, teamwork and coordination skills are essential.
  • Proficient in Microsoft Office Suite.
  • Excellent verbal and written communication skills with strong attention to detail and accuracy.
  • Demonstrated experience using AI‑enabled productivity tools (e.g., Microsoft Copilot or comparable technologies) in a professional setting, with the ability to apply such tools in compliance with organisational guidelines and data privacy standards.
  • Exposure to or experience supporting customer facing teams in a high‑tech environment is considered a strong asset.
