About the Role
We are looking for a proactive and highly organised Planning Facilitation & Enablement Coordinator to support collaborative planning and programme delivery activities across multiple teams and workstreams. This role is ideal for someone with strong facilitation and coordination skills who enjoys bringing teams together, enabling effective planning practices, and driving continuous improvement across programme delivery processes. You will play a key role in ensuring planning activities are structured, productive, and aligned with wider programme governance and reporting requirements.
Working closely with programme teams, PMO functions, delivery leads, and stakeholders, you will help embed consistent planning approaches and support teams in adopting integrated and agile ways of working.
Key Responsibilities
- Facilitate planning workshops, collaborative sessions, retrospectives, and cross-team coordination meetings.
- Design and prepare agendas, templates, collaboration materials, and supporting artefacts to enable effective planning sessions.
- Coordinate session logistics, stakeholder attendance, communications, and pre-work activities across distributed teams.
- Capture, document, and distribute planning outputs, actions, and decisions into established programme reporting and governance structures.
- Maintain and update process documentation, guidance materials, and planning frameworks to support consistency across teams.
- Support onboarding activities for new teams, ensuring understanding and adoption of established planning processes and methodologies.
- Drive continuous improvement initiatives by gathering feedback, running retrospectives, and identifying opportunities to enhance planning effectiveness.
- Build strong working relationships with delivery teams and support colleagues unfamiliar with integrated or agile planning approaches.
Skills & Experience Required
- Experience facilitating workshops, planning sessions, or collaborative events across multiple teams and stakeholders.
- A background in planning coordination, agile programme support, PMO enablement, or similar delivery-focused roles.
- Proven ability to create structured agendas, planning templates, and facilitation materials that drive clear outcomes and engagement.
- Excellent organisational and coordination skills, with experience managing logistics and communications across distributed teams.
- Experience capturing and integrating planning outputs into wider programme reporting and governance processes.
- Strong documentation skills, including maintaining process guidance and onboarding materials.
- Experience facilitating retrospectives and contributing to continuous improvement initiatives.
- Confidence supporting teams with varying levels of planning maturity and helping them adopt integrated and agile planning practices.
Desirable Skills
- Knowledge of Agile, Scrum, or hybrid delivery methodologies.
- Familiarity with collaboration and planning tools such as Jira, Confluence, MS Teams, Miro, or equivalent platforms.
- Experience working within large-scale transformation or enterprise programme environments.
- Strong stakeholder engagement and communication skills across both technical and non-technical teams.
