We have an opportunity for a Document Controller to join our team based within the Development function of Beech Grove Homes, our in‑house construction division. The successful candidate will join a six‑strong Design Team, responsible for delivering comprehensive design and technical support throughout the department. As Document Controller you will be responsible for ensuring the accuracy, organisation, and distribution of project documentation in accordance with departmental standards.

The role includes:

  • Managing version control, preparing and issuing technical information, supporting all teams within the department with structured document packs, maintaining compliance with established procedures, and serving as the central point of contact for document‑related enquiries.
  • Ensuring all design documentation is controlled and maintained in a methodical manner and issued within set timescales.
  • Managing and maintaining the content of the Group's electronic document management system, Sharefile, including managing access permissions for consultants and third parties and checking uploads are compliant.
  • Monitoring the flow of design documentation, notifying teams of revised drawings, arranging for documents to be distributed to sites ensuring superseded documents are filed accordingly and advising on any non‑compliance.
  • Reviewing and updating procedures, guidelines and workflows related to the document control process and assisting with development of internal quality systems and templates.
  • Developing, building and maintaining relationships with internal and external stakeholders including architects, engineers and consultants to ensure documents are accurate, up to date and document issue registers are complete.
  • Supporting relevant teams with the workflow process answering data management queries, advising of best practice and ensuring colleagues understand data and document requirements.
  • Assisting with all documentation for pre‑construction consultant and utility appointments; liaise with consultants and utilities, ensuring accurate quotes and tenders are received within the required timescales.
  • Managing data within technical trackers and utility applications responding to requests for information by running, analysing and providing reports to senior management.
  • Supporting the team by downloading all relevant documents, managing filing systems, Operation and Maintenance manuals and keeping files up to date.
  • General project administration including scanning and printing of documents and preparation of required site documents.

Skills and experiences:

  • Literacy and numeracy equivalent to passes in GCSE English and Maths.
  • Proven experience of providing administrative services.
  • Understanding of the key documents, processes and compliance requirements for Housebuilding.
  • Recent experience of providing administrative support to senior management.
  • Excellent organisational and planning skills.
  • Good interpersonal and customer care skills.
  • Travel is a requirement of the role, therefore a full valid driving licence is essential.
